Best Free Apps for SBOs to Get Organized

4 min read

Getting more done in less time is a goal for every small business owner. Thankfully there are some great apps available these days to help you work more efficiently, meet deadlines and save precious time. Check out our list of the 15 best free apps to help you stay organized.

Wunderlist: Whatever the job or list of must-do tasks, this app will help you get it done. Ideal for work and home, such as grocery lists or event planning, it allows you to set reminders and collaborate with colleagues or family members to make sure your to-do list gets ticked off in time. Cost: Free.

Google Keep: Ever had a brilliant idea pop into your head while you’re out, but three hours later in the office you’ve forgotten it. Google Keep solves that problem. Simply record your idea or to-do tasks into your device and it will be transcribed into a searchable note on your device. Google Keep’s time and geo-based reminders will ensure that everything gets done on time too. For example, if you’re running low on office supplies, you can set a reminder so that your shopping list will pop up as soon as you get to the store. Items are ticked off in real-time, making this a great collaborative tool for small businesses.

Waze: As a small business owner, you don’t have time to get stuck in traffic, particularly if you are on your way to an important meeting or have a plane to catch. This community-based mapping app finds the best route to your destination every time. Cost: Free.

Pocket: Keeping up to date with industry news is key, but it can also be a distraction from your workflow. This app allows you to put articles, videos and other content into your ‘pocket’ so you can digest it at a better time, such as before going to sleep or while commuting. Cost: Free.

RescueTime: Are you a procrastinator? Don’t know how to prioritize? Or do you often spend too much time on one task? There is a way to work more efficiently with Rescue Time. It tracks your productivity, allows you to set time limits for tasks and can even block time-wasting websites. Cost: Free.

Team Collaboration

Slack: This is one powerful group communication tool – in fact, it was used by the team at NASA to put robots on Mars. Thankfully you don’t have to be a rocket scientist to reap the benefits of Slack. You can create channels for various projects, allowing employees to be part of chat rooms, file sharing and direct messaging. Teams can collaborate and make decisions in real-time on projects. An added bonus is the average user reduces their internal email communication by nearly 50 per cent. Cost: Free.

Asana: Tried and true, Asana is a project management favorite that’s been around since 2008. Track projects and assign responsibilities to staff from start to finish so that nothing falls through the cracks. The app integrates with QuickBooks Online. Cost: Free for teams of up to 15.

15Five: Want to build your company culture and boost the productivity of your staff? It’s possible with 15Five, which automates regular check-ins with your staff to learn what they’re working on, how the project is going and how they are feeling about it. By consistently engaging and asking questions of your employees, you can lift their performance and ultimately be more successful. Cost: Free.

Virtual Assistants

Assistant.ai: Siri is a busy lady with a lot of clients, but she’s not the only artificial intelligence in the personal assistant game. Assistant is multilingual, can give you briefings, calculate anything and look up information. While she performs roughly the same tasks as Siri, she does so with more flare, such as verbally providing the temperature, rather than just giving a link to weather reports. You can even delegate your social media tasks to her. Cost: Free, with in-app purchases.

24me: You’ll never forget to pay your phone bill again, or buy your partner an anniversary gift. Link in your service providers or even social media accounts, and it will help you build calendars and to-do lists. Cost: Free.

Google Now: Need to know the weather before you start your day or any traffic accidents or delays? Google Now’s ‘cards’ give you the information you need, when you need it, providing round-the-clock assistance. Cost: Free.

EasilyDo: Not sure what time you need to leave for an appointment? This award-winning app will do the math for you. It will even sort your email and identify which messages need an immediate response. Cost: Free.

Kono Calendar: Hate the back-and-forth that comes with setting up meetings? Let this personal assistant do it for you. Kono will simplify your schedule by determining the best time and location for all parties. Cost: Free.

Business Accounting

QuickBooks Online: Never waste time on manual data entry again. The companion to QuickBooks Online, this app allows you to create invoices and real-time financial statements on the go. Take a picture of a business-related receipt and the app will scan it for your electronic records, so you no longer have a box full of messy scraps of paper, and you’re organized when tax time rolls around. Cost: Free with subscription to QuickBooks Online.

Downloading an app only takes a few minutes, but there’s huge payoff in the hours you’ll save. For more information check out the QuickBooks App Store.
