Totally understand where you are coming from. Yes, there's a formal authorization form (see Steps 2 and 3) you need to send to your customers as part of the setup process.  This article provides detailed instructions and visuals showing the link to the form.

 

If you want to give your client's a heads up a month or so before you make the switch, you can send them all a batch email from QuickBooks - that way they have some immediate context.

@aafable You could either use the template and email format that @JamesOng mentioned or you can just use a formal Word document to send. We have several vendors that send us their ACH/Bank info for us to set up the payments to send them. Either way, they are going to see and have your bank info if that's how you want to set up the payments. Smiley Happy

The thing is, I don't have a QB online company or QB accountant. I would just like to send them a Word Document to them. Do you know where I can find a template?

No worries, I don't have the template on hand, but you can easily find the pdf form in a Google Search. QuickBooks has a few articles explaining the importance of using the form for compliance but the form itself is accessible in-product.

@JamesOng I'm not sure where you get your pictures from to illustrate QBO, but mine looks nothing like what you post. Smiley Happy

 

@aafable I have attached a paper that we use for some of our customers and vendors informing them of how they can pay. You could send them this document first and then when they decide how they would like or would be best for them, then you could send your bank info. I think that would be safer for you. Smiley Happy

I wasn't able to access the current in-product page last night but, still wanted to give @aafable a sense of where is in the process with QBO, though she isn't a user.
