How to change the sort order of chart of accounts

There is no direct way to change the sort order of accounts in the Chart of Accounts, however, the order can change depending on your company settings and how the Chart of Accounts was created.

Below we show you three options that let you rearrange the accounts:

  • Rename accounts to include ID numbers
  • Organise accounts into sub-accounts of different accounts
  • Use account numbers

Rename accounts to include ID numbers

If you rename accounts to add numbers at the beginning of the account name field, accounts will be sorted numerically by those values within each account type.

Organise accounts into sub-accounts of different accounts

When you make an account a sub-account of another parent account, that account will be sorted under its parent account. Follow these steps to do that:

  1. Select the Gear icon on the Toolbar.

  2. Under Your Company, choose Chart of Accounts.

  3. Look for the account and in the Action column select the drop-down and select Edit.
  4. Put a check mark in the Is sub-account box.
  5. From the Enter parent account drop-down, select the parent account. (Note: This should be the same account type as the sub-account.)
  6. Select Save and close.

Use account numbers

If you enable account numbers in Account and Settings, QuickBooks will sort accounts by their account number within each account type.

Note: Making this change will also affect the sort order of your reports, such as the Profit & Loss and Balance Sheet.

To make this change:

  1. Select the Gear icon on the Toolbar.

  2. Under Your Company, choose Account and Settings (or Company Settings).

  3. From the left menu, select Advanced, then select the pencil icon in the Chart of accounts section.
  4. Select Enable account numbers, then check the Show account numbers box.
  5. Select Save and then Done.

You can now change the sort order of Chart of Accounts.
