Configure your print settings for printing cheques in QuickBooks Online

Learn how to set up your print settings so you can print cheques in QuickBooks Online.

When you create a cheque for your expenses, you can print your cheque directly in QuickBooks Online. Make sure your printer is set up for QuickBooks so your cheques align and print out correctly. We’ll show you how to use the print setup and align your printer settings.

Note: You can use your own cheques to print, but they need to be formatted for QuickBooks. Or, you can order QuickBooks compatible cheques from Intuit.

Set up Print Cheques

1. Select + New.
2. Select Print Cheques.
3. At the bottom of the page, select Print setup.
4. Select the type of cheques you have: voucher or standard.
   Note: Depending on your region, there may only be one type available.
5. Load blank paper into your printer. You'll print on blank paper first, so that if you need to correct alignment, you won't waste actual cheques.
6. Select View preview and print sample, then choose the Print icon.
   Note: Follow Solution 1 if you're unable to print, or if the printed sample doesn't align with the blank cheque.

Solution 1: Set up Adobe Reader

1. Download the latest version of Adobe Reader, or update it if you're already using it. This will control printing cheques in QuickBooks Online.
2. After downloading, installing, or updating Adobe Reader, set it as the default PDF viewer for your browser.
3. Print another sample using the steps above. If this doesn’t work, proceed to Solution 2.

Solution 2: Fine-tune alignment

1. On the Print cheques setup window, select No, continue setup at the bottom-right, twice until you get to the Fine-tune alignment page.
2. Drag the grid inside the large square to the place where it appears on your printout. QuickBooks Online will figure out how to adjust the alignment.
   Note: QuickBooks Online uses the numbers on the vertical and horizontal to figure where exactly to print the cheque amount. These numbers change whenever you drag the grid.
3. After adjusting the grid, print another sample using the steps in the Set up Print Cheques section above, then check the alignment again. Continue to fine-tune until the alignment is correct.
4. Select View preview and print sample in the lower left, and choose Print icon at the top-right.
5. After the sample is printed on plain paper, hold it up to the light against a cheque and see if the alignment is correct.
6. If you still need to do some fine-tuning, close the sample and then go back to the grid to make adjustments, then print a fresh sample.
7. Select Finish Setup when your sample’s alignment looks correct.
8. Apply the following changes:
   Note: Changes should apply to most printer versions – make changes for the options you see below.
   1. Page Scaling: Set to None.
   2. Auto-Rotate and Centre must not be checked.
   3. Make sure that Choose Paper Source by PDF size is cheque.
   4. If you’re using Adobe Acrobat, these options are slightly different:
      1. Under Page Size & Handling
         • Select Actual Size
         • Select Choose paper source by PDF size
      2. Under Orientation
         • Select Auto portrait/landscape
