Change QuickBooks license and product number without uninstalling or reinstalling the program

You can update the license and product information in QuickBooks without going through the install/reinstall process.

Windows users: Change the license number only

  1. From the QuickBooks Help menu, select Manage My License, then select Change My License Number.
  2. Enter the new license number, then select Next and Finish.
  3. Restart the computer.
    • NOTE: If you do not restart the computer, the program will still deliver the incorrect product information to the server when you access the company file. If you are on multi user mode networked with multiple seats, QuickBooks will give you the error "You've exceeded the maximum number of users who can access the company file at one time."

Windows users: Change license number and product code

You must edit the qbregistration.dat file to avoid uninstalling and reinstalling the product. There are two ways to edit this file:

Open the file  through QuickBooks

  1. To open the Tech Help window, press F2 (or Ctrl+1) then F3(or Ctrl+2) on your keyboard.
  2. On Open File tab, select QBREGISTRATION.DAT, then select Open File. The file will open in Notepad.
  3. Create a backup of the qbregistration.dat file. Any typos made in the edited file will prevent QuickBooks from opening properly, so this step is extremely important.
    1. From the Notepad File menu, select Save As.
    2. In the Save as window, select Desktop then select Save.
    3. Close the file.
    4. Re-open the file from the Tech Help window (Step 1).
  4. Close QuickBooks, but keep the qbregistation.dat file open in Notepad.

Open the file  through Windows Explorer

  1. Open the QuickBooks common files.
    Location: C:\ProgramData\Common Files\Intuit\QuickBooks
  2. Right-click the qbregistration.dat file, then select Open with, then Notepad.
    NOTE: You may need to scroll through the Other Programs section if Notepad is not listed as a recommended program.
  3. Create a backup of the qbregistration.dat. Any typos made in the edited file will prevent QuickBooks from opening properly, so this step is extremely important.
    1. From the Notepad File menu, select Save As.
    2. In the Save As window, select Desktop, then Save.
    3. Close the file, then re-open the file from the Common Files window.
  4. If QuickBooks is running, close it.

Edit the qbregistration.dat file

The qbregistration.dat file contains the product information for all installed QuickBooks software. The following sections indicate the version and edition of each installed program.

    • VERSION number="29.0" (2019), "28.0" (2018), or "27.0" (2017)
    • FLAVOR name="QuickBooks Pro=pro, QuickBooks Premier (not Accountant Edition) = superpro, QuickBooks Premier Accountant Edition=accountant, Enterprise Solutions = bel, Enterprise Solutions Accountant Edition=belacct."
  1. Locate the version of QuickBooks that needs its license information changed.
  2. Replace the corresponding InstallID with the correct product code. Use the following format when you enter the numbers: XXX-XXX. Do no remove any of the brackets.
  3. Replace LicenseNumber with the correct license number. Use the following format when you enter the numbers: XXXX-XXXX-XXXX-XXX. Do not remove any brackets.
  4. From the Notepad File menu, select Save.
  5. Reboot the computer and relaunch QuickBooks Desktop.
  6. Press F2 to display the Product Information window. Check the License number and Product number fields to verify that the changes took effect.
    • If the product code remains the same after editing the qbregistration.dat file, restart your computer.
    • If the product code has still not changed after a reboot, uninstall and reinstall QuickBooks using the correct license number and product code.

Mac users: Change license number and product code

  1. Open QuickBooks Desktop for Mac.
  2. From the QuickBooks menu, select Manage My License, then select Deauthorize This Computer.
  3. When you get the prompt, select Deauthorize and Quit.
  4. Reopen QuickBooks and follow the registration process which will allow you to enter a different license.
