Change QuickBooks license and product number without uninstalling or reinstalling the program

You can update the license and product information in QuickBooks without going through the install/reinstall process. This is particularly helpful in instances when the number of your QuickBooks users are inaccurate because you use a single-user license for installation instead of the correct multi-user license.

Change the license number only

  1. From the QuickBooks Help menu, select Manage My License, then select Change My License Number.
  2. Enter the new license number, then select Next and Finish.
  3. Restart the computer. NOTE: If you do not restart the computer, the program will still deliver the incorrect product information to the server when you access the company file. If you are on multi user mode networked with multiple seats, QuickBooks will give you the error "You've exceeded the maximum number of users who can access the company file at one time."

Edit the qbregistration.dat file

You must edit the qbregistration.dat file to avoid uninstalling and reinstalling the product. Any typos or incorrect information saved in the qbregistration.dat file will prevent QuickBooks from opening properly after the edit. There are two ways to edit this file:

Within QuickBooks

  1. To open the Tech Help window, press F2 (or Ctrl+1) then F3(or Ctrl+2) on your keyboard.
  2. On Open File tab, select QBREGISTRATION.DAT, then select Open File. The file will open in Notepad.
  3. Create a backup of the qbregistration.dat file.
    1. From the notepad File menu, select Save As.
    2. In the Save as window, select Desktop then select Save.
    3. Close the file.
    4. Re-open the file from the Tech Help window (Step 1).
    5. Close QuickBooks.
  4. Change the license number in the qbregistration.dat file.
    • The qbregistration.dat file shows information of all installed QuickBooks products. The following sections indicate the version and edition of each installed program.
      • VERSION number="28.0 (2018) or "27.0" (2017) or "26.0" (2016)
      • FLAVOUR name="QuickBooks Pro=pro, QuickBooks Premier (not Accountant Edition)=superpro, QuickBooks Premier Accountant Edition=accountant, Enterprise Solutions=bel, Enterprise Solutions Accountant Edition=belacct.
  5. Locate the version of QuickBooks that was installed with the incorrect license number or product code.
  6. Replace InstallID with the correct product code. Use the following format when you enter the numbers: XXX-XXX. Do no remove any of the brackets.
  7. Replace LicenseNumber with the correct license number. Use the following format when you enter the numbers: XXXX-XXXX-XXXX-XXX. Do not remove any brackets.
  8. Select Save
  • Reboot the computer and relaunch QuickBooks Desktop.
  • Press F2 to display the Product Information window then check if the changes took effect.

Through the QuickBooks common file

  1. Open the QuickBooks common files.
    Location: C:\ProgramData\Common Files\Intuit\QuickBooks
  2. Right-click the qbregistration.dat file, then select Open with, then Notepad.
    NOTE: You may need to scroll through the Other Programs section if Notepad is not listed as a recommended program.
  3. Create a backup of the qbregistration.dat.
    1. From the Notepad File menu, select Save As.
    2. In the Save as window, select Desktop, then Save.
    3. Close the file. Re open the file from the Tech Help window.
    4. Close QuickBooks.
  4. Change the license number in the qbregistration.dat file.
    • The qbregistration.dat file shows information of all installed QuickBooks products. The following sections indicate the version and edition of each installed program.

    1. Locate the version of QuickBooks that was installed with the incorrect license number or product code.

    4. Select Save
  5. Reboot the computer and relaunch QuickBooks Desktop.
  6. Verify that the changes have been made by pressing F2 to display the Product Information window.

If the product number remains the same after editing the qbregistration.dat file:

  1. Close QuickBooks Desktop.
  2. To open the Task Manager, press Ctrl+Alt+Delete on your keyboard.
  3. Go to the Processes tab, select Show processes from all users, then end all QuickBooks (QB) related processes.
  4. Open QuickBooks Desktop, then press F2 on your keyboard to open the Product Information screen. Check the license and product number.
  5. (Optional)Restart the computer to reflect the change.
