Use e-Invoice

Need to send invoices to your customers? Use e-Invoicing and experience managing your customer's balances and payments right at your fingertips!

With e-Invoicing, you can:

  • share and send invoice link that customers can open on the web, smartphone or tablet so they can pay you instantly.
  • let your customers download and save their invoices as PDF.
  • allow your customers to send you messages and attachments right from the e-Invoice.
  • see activities such as when your customer viewed the invoice and any messages or attachments you've received.
  • have your customers pay your invoices online without any extra work from you!
    Note: This feature requires a QuickBooks Payments account.

Turn on e-Invoicing

  1. Select the Gear icon at the top, then Company Settings.
  2. Select Sales.
  3. Select the Pencil icon in the Online Delivery section.
  4. From the drop-down, choose Online invoice.
  5. Select Save, then Done.
    Note: The Pay Now link becomes unavailable when HTML or Plain Text email is selected.

Share and send invoice link

Generate an invoice link

Option 1: From the Invoice screen

  1. Select the drop-down next to Save and close, then Save and share link.
  2. Select Copy link and close to copy the link to your clipboard.
  3. Paste and send the link to your customer using your preferred platform.

Option 2: From the Sales Transactions list

  1. Select Sales or Invoicing from the left menu.
  2. Find your customer's invoice.
  3. From the drop-down in the Action column, choose Share Invoice link.
  4. Select Copy link and close to copy the link to your clipboard.
  5. Paste and send the link to your customer using your preferred platform.

Send an e-Invoice

QuickBooks Online in Web Browser

  1. Select Save and send after creating an invoice.
  2. Verify the content of the email and update as needed.
  3. Select Save and close.

QuickBooks Online Mobile

iOS (Apple Devices)

  1. Log in to the company file using your QuickBooks Online mobile app.
  2. Create and save an invoice.
    1. Select the Menu icon, then Invoices.
    2. Select +.
  3. Select Send invoice.
  4. Verify the information and select Send.

Android Devices

  1. Log in to the company file using your QuickBooks Online mobile app.
  2. Create and save an invoice.
    1. Select the + from the Home menu.
    2. Select Invoice.
  3. Select the menu (three dots) and choose Email.
  4. Verify the information and select the Send icon.

Send e-Invoice with attachments

  1. Create your invoice (Select the Plus icon [+] at the top, then Invoice).
  2. Fill out the form and scroll down to the Attachments section.
  3. Select Attachments to open the file explorer and choose the file you want to attach.
  4. Select Open.
  5. Make sure to select the box in the attachment section. If this section is not available, try using a different browser.User-added image

Send e-Invoice by batch

To send e-Invoice by batch, make sure to select Send later prior to saving the invoice.

  1. Create your invoice (Select the Plus icon [+] at the top, then Invoice).
  2. Make sure to select Send later prior to saving the invoice.User-added image
  3. Select Sales from the left menu to open the list of your sales transactions.
  4. Select all the invoices you want to send.
  5. Select Batch actions, then Send invoices.

Check the status of invoices sent via email

To view the status, select Sales from the left menu, then Customer. Select the name of the customer you want to view. Identify the invoice you want to check and verify the meaning of the status below.

Status Meaning
Open You created the invoice but did not email it
Open (Sent) The invoice has been sent
Open (Viewed) Your customer already viewed the invoice
Paid The customer already paid the invoice
Overdue The invoice is not yet paid and already past due
Overdue (Viewed) The customer viewed but did not pay the invoice and is already past due

Change the payment options for a previously sent e-invoice

As long as the invoice is not yet paid, you can still change the available payment methods for a specific invoice.

  1. Open the invoice you want to modify.
  2. From the drop-down, choose Save and Send.
  3. Select the payment options you want to make available for this invoice.
  4. Select Send and close or Save and send.
    Note: Select the X button on the top right of the screen if you don't want to re-send the invoice, then Save.
