Where to save portable company file when restoring

Hello,

I think this is simple, but I don't want to screw this up!  We got our portable file back from our accountant yesterday and, when restoring, I didn't know *where* to save it....so I saved it to desktop so I could get back to entering all the data I needed to while we weren't able to use QB (5 days!).  Now that we're caught up, I want to put the QBW file where it belongs.  Do I put it in  C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files  ?

I'm glad your first issue is resolved already, Jeffmary1.

 

Regarding your other concern, restoring an accountant's copy will not mess up your file. When you import the changes, the accountant's corrections will be added. Moving your files will not mess up anything nor it can cause data loss. If the reports are correct, then it's all good.

 

Though, you can always run the verify/rebuild utility to check if there are data issues.

The default location for QuickBooks file is in C:\Users\Public\Documents\Intuit\QuickBooks\<company name>. Though, you can put it in another file location.

You'll want to make sure all your data file is in one folder location.

Hi Shiella!  Thank you VERY much for replying...you confirmed what I assumed should be done. 

 
Unfortunately, I've got a *new* problem that's stumped me.  Earlier, when opening the portable file we got back from the accountant to restore, four other files were also formed along with the company file (I've dealt with the TLG file): 
<company name>. QBW.ND
<company name> QBW.SearchIndex
<company name>QBW.DSN
I had moved those files listed into the Intuit folder as well (along w/ company file), but these 3 files still remain on the desktop and I can't delete them.  A window pops up saying they are no longer in this location.  But, they are, at least the desktop says they are.  I checked in C:\Users\Public\Documents\Intuit\QuickBooks\<company name>  and they appear to be in there ...though they have a slightly different time stamp.

Make sure your accountant returns Backups, not Portables. You want .qbb files; you send and receive these, as they are more comprehensive than .qbm files.

You don't "deal" with them. They are Required. What you have with a .qbw file is a Relational database, and there are associated Utility files that manage and follow along with the Changes and index the .qbw file.

 

The TLG file will Clear itself each time you make a Good Backup using the option for Full Verification, which you should be doing after every work session to keep a copy safe, such as on a USB or in the Cloud. Set the program to "rotate backups" meaning, keep only 3 or 4. Then, each time you make a new backup, the Program offers to delete the Oldest. You need these for disaster recovery.

You store the returned Backup anywhere on the computer that you can access. When you use the Restore Button, you are going to "save as" into the Company Files Folder or where ever you keep the files. I have, for instance:

Company Files <== client files

My Files

School Files

Testing files

 

= 4 folders. The Utilities files go with th Company file. You should never move a .qbw file. You use the Backup function, and then Restore to the New Location. If you move the qbw file, you orphaned the associated Files and Subfolders for that company file.

Okay, I think I understand what you are talking about.  My accountant requested a portable file specifically and sent us back a portable file which we downloaded.  I can't change that fact.

And...I still have the three files stuck on my desktop and I can't do anything with them, can't delete and can't move them:

<company name>. QBW.ND
<company name> QBW.SearchIndex
<company name>QBW.DSN
All three are also still listed in my Intuit file folder C:\Users\Public\Documents\Intuit\QuickBooks\<company name>

I can't rewrite history and get a qbb file back from our accountant or restore a qbb file instead of the portable file.  I have checked tons of info in the company file on QB and everything looks to be intact, down to individual transactions throughout our 5 year history.  Journal entries, check register, templates, etc.  All look perfect.  BUT....what to do with the 3 files stuck on the desktop??  Ugh, thank you guys for your help.  I just need to get this taken care of so I can get on with work.

Update to last entry of 1/2 hour ago...I did the OBVIOUS and restarted my PC which got rid of the stuck files on the desktop....that's all that was needed and I'm sorry I bothered you guys again with that question.  Case solved....

 

But, that said, have I messed anything up by restoring the QBW portable file that accountant gave us?  And did moving these files from the desktop back into the regular Intuit file mess anything up or cause data loss?  I can't seem to find any problems with our company file....I've run all sorts of reports and checked fine details of the account.  All seems intact and normal.  Hmmmm

Because they don't understand this, either. Portable File is a smaller compressed backup that was created when w had restrictions on Email Attachments, to keep the file small enough to Email "back then." The Backup has always been more useful, as it contains, for instance, your Logo (images used on templates).

You can Teach them, for next time.

Yes, you no longer need them and can delete them.

 

<company name>. QBW.ND <== Net Data, used for Tracking computers updating the .qbw

<company name> QBW.SearchIndex <== used to Index keywords so you can Search the File using the Search function, which is different than the Find function
<company name>QBW.DSN <== data set name, part of Database management
 
 
All three are also still listed in my Intuit file folder C:\Users\Public\Documents\Intuit\QuickBooks\<company name>
Slightly different time stamps. <== These are the Current and Real ones, if this is also where the QBW is now being access from
 
The others are Left Overs and no longer needed, if you are functioning from the Intuit subfolder, not from the desktop. Open your File, Use F2. It shows the File Name and folder path you are using.

Please learn from this input. They did not Restore "an accountant's copy" and your link is not applicable. You cannot Restore an Accountant's Copy; that is a filetype that can only be used to Import Changes, because that is a Changes File. They didn't make an Accountant's Copy, to start with, so they are not under a restriction or expecting to Import a changes file.

 

These are All Different:

 

Backup (qbb) B =Backup <== Restored

Portable (qbm) M = Mobile <== Restored

Accountant's Copy = the User sends a QBX, the Accountant works on it as qba; A = Accountant; they send back a qby, for import <== Cannot be Restored
