QuickBooks Online Accountant Apps Program Guide

With QuickBooks Online Accountant, you can purchase apps at a discounted price for your clients and get billed for it monthly. You can choose to pass this discount to your clients or use this in your value pricing strategy.

What if my client already has this app and I want to take over the billing?

Currently, not all apps allow existing app subscribers to seamlessly switch current billing of the Accountant Apps Program.

If you want to get the Accountant Apps discount but the app doesn’t support the billing switch, cancel the existing subscription, then repurchase thru QuickBooks Online Accountant.

Find, view pricing, and buy the app

Step 1: Find the apps within QuickBooks Online Accountant

  1. From the left menu, select Apps.
  2. At the top, select Find apps.
  3. Browse the Great deals on apps trusted by our ProAdvisors section, then find the app that your client needs.

Step 2: View pricing detail for the app

You can find the detailed billing timeline for these apps in Accountant Apps - FAQs and Troubleshooting.

  1. Hover over the app to see the price.
  2. Select the app, then Pricing to get more pricing details.

Step 3: Buy and install the app

  1. Select Get app now.
  2. From the Install for Your Client drop-down, choose the client name.
  3. Select invoice to your firm, then Install.
    Reminders:
    • If it’s your first time purchasing from the Accountant Apps program, you’ll be prompted to enter your card information.
    • Your billing information must have the same country as your QuickBooks Online Accountant account.
    • All apps you subscribed on behalf of your clients will be billed using this billing information.
  4. Review and confirm your order summary.
  5. To activate your app, select Activate, then Authorise to confirm that you agree to share your data between QuickBooks Online and the Developer.
    Note: Activate your app as soon as you purchase it. Delaying the activation does not put off its billing.

Manage your apps

Once you purchase an app for your client, you’ll get a new Manage app subscriptions section on your Manage Wholesale Clients. This helps you keep all your client billing in one place. To view the billing for the apps you manage on behalf of your clients, take the steps below:

View individual app subscription orders

  1. From the left menu, select Apps.
  2. At the top, select Client apps.
  3. From the Manage discounted apps drop-down, choose Manage Subscriptions.
  4. On your App Management Dashboard, you will see a list of your clients (Companies) that you've purchased an app for.
  5. Select the client you wish to view the order for.
  6. Scroll down to the Orders section, then select the order you wish to view.

Billing and payments

View your monthly invoice

  1. Select the Gear icon at the top, then Your Account.
  2. Select Manage discounted apps at the Manage app subscriptions section.
  3. From the drop-down, choose View monthly invoice.
  4. A new tab will open with the Manage Invoices screen where you’ll see all of your invoices.
    Note: The View monthly invoice option will not be available until the first monthly invoice is generated.

You may also view your monthly invoices from the Apps tab by following these steps:

  1. From the left menu, select Apps.
  2. At the top, select Client apps
  3. From the Manage discounted apps drop-down, select View monthly invoice.

What happens if my card expires or fails?

If payment fails, you may have to pay the monthly invoices manually. See the FAQs section in Accountant Apps - FAQs and Troubleshooting.

Update card used for app subscriptions

When updating your billing information for the app subscription, the card must be of the same currency as the QuickBooks Online Accountant Firm account.

  1. From the left menu, select Apps.
  2. At the top, select Client apps.
  3. From the Manage discounted apps drop-down, choose Edit billing info.
  4. Select the card you want to update, then Edit.
  5. Enter the new card details and billing address.
  6. Select Save.

Cancel your client's app subscription

  1. From the left menu, select Apps.
  2. At the top, select Client apps.
  3. From the Manage discounted apps drop-down, choose Manage Subscriptions.
  4. Select the client you want to view.
  5. Scroll down to the Orders section, then the order you wish to view or cancel.
  6. Select Cancel Subscription.
    Important: Refunds will NOT be issued. If you decide to cancel an app subscription order, you will continue to have access to the app through the end of the paid period.
