Why do checks which cleared in previous months all of a sudden show up as charges to be paid and no longer appear as cleared/reconciled.

One possible cause the cleared checks show as charges to be paid could be some of the transactions have been changed, deleted, or added.

 

We can run a Reconciliation Discrepancy Report to reconcile an account that is not clearing the transactions. I'll guide you how:

  1. From the Reports menu, hover over Banking and then select Reconciliation Discrepancy.
  2. Choose the account you're reconciling and then click OK.
  3. Review the report and look for any discrepancies.

 

Then, let's run a Missing Checks report. This report shows if there are any missing checks.

 

Here's how:

  1. Go to the Reports menu.
  2. Type in Missing Checks in the search bar, then click to open.
  3. Find the account you're reconciling and then click OK.
  4. Review the report. Look for any transactions on the report that aren't on your bank statement. 

 

After that, you'll have to run a Transaction Detail Report. This will show if any transactions have been changed. Here's how:

  1. Go to the Reports menu.
  2. Type in Transaction Detail in the search bar and then click to open.
  3. Click the Display tab.
  4. In the Date From field, choose the earliest date in QuickBooks for the account. 
  5. In the Date to the field, select the date of your last reconciliation.
  6. Go to the Filters tab.
  7. In the Account field, locate the account you're reconciling.
  8. In the Entered/Last Modified field, set the Date from to the date of your last reconciliation. Then set the Date to the field to today's date.
  9. Select OK to run the report.
  10. Look for any discrepancies or transactions that don't match what's on your bank statement.

 

Once done, we can now look for any reconciliation adjustments. Let's review the account and make sure there are no inaccurate adjustments.

 

You may follow these steps:

  1. Go to the Lists menu and select Chart of Accounts.
  2. Open the Reconciliation Discrepancies account.
  3. From the Dates field, set dates for your last few reconciliations.

 

Then, you can finish reconciling your account.
