Question

Can Categories be exported with the Category and sub-category listed? I can't seem to filter on attachments and have to export but I am not interested in one catagory.

I have a lot of sub-catagories under one catagory and I am not worried about them having attachments. Is there are way to export all other expenses? Exporting only gives sub-catagory names as far as I can see. It is therefore a lot of work to keep exporting and checking progress.

Yes, you can export your reports by running the Transaction Detail by Account report that'll reflect your desired account. And I'd be delighted to walk you through the steps.

 

Here's how:

 

  1. In the left menu, click Reports.
  2. Open the Transaction Detail by Account report.
  3. Click the Customize button.
  4. Go to the Filter section, then select the desired account/s under Transaction Type.
  5. Click on the Run Report button to refresh the page. 
  6. Choose to Save customization, then Save.

Thank you but that does not answer my question. If you look at my screen shot you see the category in the the spreadsheet is shown as "Birthdays and Xmas". In QuickBooks it is "Personal:Birthdays and Xmas" because  "Birthdays and Xmas" is a Sub-category of "Personal". I need the export to have the full category name in it because I am only interested in other categories that don't have receipts attached. If it is in the personal category I don't care. 

Really i just want to be able to filter a category for records that don't have attachments and be able to update the results line by line but for some reason QuickBooks filters are extremely limited and unhelpful.

I've got you covered, jon.

 

I know how important it is for you to keep track of expenses with no attachments. I can provide different ways of running reports that contain the data you need.

 

You're on the right track. You can go to the Expenses menu and checkmark the Attachments box to view the list of expense transactions without attachment.

 

Here's how:

 

  1. Go to the Expenses menu, then the Expenses tab.
  2. Click Filter, then select Expense to see only expense transactions.
  3. Hit the Gear icon above the ACTION column, then tick the Attachments box.
  4. Transactions without attachment display zero in the Attachments column.

 

Run Account QuickReport thereafter to see the whole category name together with the subcategory.

 

Here's how:

 

  1. Go to the Accounting menu, then Chart of Accounts.
  2. Locate the Expenses category you want to run.
  3. Click the Run report link.
  4. Select the Export icon.

 

The entire category and its subcategories are now visible. Compare or combine the information you have on the exported list of expense transactions after that.
