Question

Is there a way to remove the task reminders on the dashboard to file year end W2s, 4th Q filings etc, without filing them via QB?

Yes, there's a way to remove the task reminders for your W-2s and other 4th quarter forms without filing them in QuickBooks Online, murphylaper.

You can archive the W-2 forms and other 4th Quarter filings in QuickBooks Online to remove them from your task reminder. Here's how:

  1. On the Dashboard screen, locate the forms that are showing overdue.
  2. Click the File now link.
  3. Hit Archive.

You can also archive the forms from the Payroll Tax settings. For your reference, you may check out this article for further guidance: Archive old forms. On the same link, you'll find a write-up on how to resolve an overpayment as well as things to remember before arching the forms.

If you need any additional help with this, let me know in the comment below. I'll be right here if you need further assistance or anything about filing quarterly forms in QuickBooks. Have a good one!

Thank you. That worked for all forms except for:

W-2, Copies A & D (year 2020) filing

When I click on file now the box is checked for file electronically and grayed out so I can't un-select this option. I file the W-2s manually and do not want to file electronically as it will send duplicate W-2s. Additionally there is no option to archive the form. There is only a submit button to e-file the forms. Is there a solution to remove this task reminder without e-filing?
Thank you.

Jumping in to help with your question about tax forms, murphylaper.

There's no option to turn off the task reminders for Form W2s Copies A & D. The system will automatically remove the reminders within 6 months. However, you can reach out to our Payroll Support Team. They can securely access your account and remove the reminders for you.

Here's how to reach out to them:

  1. Click Help in the upper right-hand corner of QBO.
  2. Look for Talk to a human and click on it.
  3. Type in "support" or "contact support" again and press Enter.
  4. Click I still need a human.
  5. Select Get help from a human.
  6. Choose between Chat with us or Have us call you
