Question

Trying to print W-2s on QB Online. Is it true that I can only print on 4 part paper in horizontal format, not box format? Why, since most people get box W-2s.

Thanks for checking this with the Community. I can share some information about the W-2 printing in QuickBooks Online.

 

May I know if you're you referring to pre-printed forms as box format? Any information you can add will help us narrow things down.

 

Presently, you can print W-2 forms either on a four-part perforated paper or plain paper in QuickBooks Online. It must be blank and not a pre-printed form. Here's how to view or print your W-2 forms:

  1. Click the Taxes menu, then Payroll Tax.

  2. In the Forms section, select the Annual Forms link.
  3. Choose either All Employees or a specific employee name from the drop down menu provided.
  4. Select the W-2, Copies BC & 2 link.
  5. Choose the appropriate period from the drop down menu.
  6. Select View to launch Adobe Reader in a new window.
  7. Select the print icon on the Reader toolbar.
  8. Click Print again.

Please be reminded to select the default paper preference within your company before printing your W-2s. Here's how:

  1. Click the Gear icon on the Toolbar.

  2. Select Payroll Settings.

  3. Go to the Preferences list and select the Form Printing link.
  4. Select perforated or plain paper. Then select Okay.
