Remove or merge a product or service

Learn how to modify your products and services in QuickBooks Online.

Do you need to merge duplicate items or remove unused ones? We’ll show you how so you’ll have an organised book.

Note: You can merge or reactivate products and services at any time except for inventory products that have Quantity on Hand. You can also change its types.

Make a product or service inactive

An inactive product or service will no longer show in reports and in any other place that displays it. It shows as "Name of the inactive product or service (deleted)" in transactions.

  1. Go to Settings ⚙, then select Products and Services.
  2. Find the product or service that you want to make inactive.
  3. From the Action column dropdown menu, select Make inactive.
  4. Select Yes.

Note: You can’t inactivate default items (automatically created with the company) such as Services and Hours. Instead, you can add Z at the beginning to make them appear at the bottom of lists.

Reactivate a product or service

If you need to restore an inactive product or service, you can still reactivate it.

  1. Go to Settings ⚙, then select Products and Services.
  2. Select the Filter icon.
  3. From the Status ▼ dropdown menu, select All.
  4. Select Apply.
  5. Find the product or service that you want to reactivate.
  6. In the Action column, select Make active.

Merge a product or service

If you merge two products or services, it won’t affect any transactions. It will only remove one  product or service from the Products and Services List.

  1. Go to Settings ⚙, then select Products and Services.
  2. Find the product or service that you want to merge.
  3. In the Action column, select Edit.
  4. In the Name field, enter the product or service you want to merge it with.
  5. Select Save and Close, then select Yes to confirm the merge.
