Quickbooks classes and subclasses
I must be missing something because classes and subclasses don't seem to work like I thought they would. I expected QB reporting to be able to rollup the subclass totals when reporting at the class level, but it seems to treat classes and subclasses as totally separate classifications, i.e. when I ask for a report by class, it only includes the amounts for entries that were at the class level only and not the subclass levels defined under it. If that is the case, I'm not sure what benefit subclasses provide. Insight requested and appreciated.

Allow me to provide with some information on how you can include classes and sub-classes in generating your reports.
With QuickBooks Desktop, you have the ability to customize and filter your reports by class and sub-class.
Here's how to view your PL report by sub-class:
- Click Reports.
- Choose Company and Financial.
- Select he Profit & Loss by Class report.
- Click the green arrow to run report.
- Choose Customize Report.
- Go to the Filters tab.
- From the Filter list, select Class.
- Choose Multiple Classes.
- Put a check mark on the Subclasses you want in the report.
- Example: 1C, 2C, and 3C.
- Hit Ok.
- Click Refresh.

Allow me. As long as you are not trying to filter for specific classes, where picking just the parent excludes the subs, you can and will see all classes of all levels in a P&L by Class. Every subclass across in columns followed by its parent and a separate total column for that group. I know because I have over 100 sub classes of probably a dozen top level classes. The key is....don't filter....until after you export to excel.

in desktop, go to the lists menu>class list, highlight the parent and use the report button for a quick report
all sub classes of that parent will report, with totals
In QB when you have a parent, item, account, class, you do not post to it, only post to the subs

Following...
I recently realized that in attempting to create adjusting journal entries (ie reallocate expenses from one class to another, transfer funds, etc), this creates unbalanced classes on the balance sheet. Transactions created as forms (ie check, bill, bill payment etc) do not create this issue, only journal entries with multiple classes.

Good to see you both in the Community. Allow me to help share some insight about moving funds from one subclass to another.
You can transfer the balance of one subclass to another by updating the transaction to change the class used. You can use the Transaction Detail report to find and edit the transactions easily. Let me show you how:
- From the Reports menu, select Custom Reports.
- Choose Transaction Detail.
- Select the correct Date.
- Click OK or Refresh.
- Double-click the transaction.
- In the CLASS column, click the drop-down and select the correct subclass.
- Click Save & Close.

These steps should correct the balance per class in your QuickBooks.

Thanks for the quick reply but I already know how the multiple filtering currently works. I am looking for it to change.

I am asking if Intuit would be open to changing the way the program works. When selecting "multiple classes", if a parent class is selected program without any child classes then WE would all like the report to include data from the sub-class transactions but only display the parent class totals in the report.
Can you at least forward the concept to development for consideration?

I have to jump in here and say that this feature in quickbooks online does not work how it should and needs to be modified. There is zero benefit to subclasses. All engineering needs to do is run a class report in Quickbooks desktop (which works the way it should) and run a class report in quickbooks online and can see the deficiencies. I should be able to see class levels

Is there any update on this? I'm in the same boat - utilizing quickbooks online and would like to run a statement of activity report by class, but I don't want to include all of the subclasses. I just want the report to show totals for each of the parent classes. It appears it's not pulling in any subclass information when I filter just by parent classes. What a programming miss.

We currently don't have any updates about the report. However, the request has been submitted to our engineers.
Customizing the Statement of Activity by Class report to only display the parent class is the available workaround.

I, too, would like the classes to be able to expand and collapse like the income and expenses do. We don't always need to see granular detail! Exporting to Excel and hiding the sub-class columns appears to be the only current option.

There is a way which may or may not be useful:
Run the custom report, I chose summary. Click on customize and change the display columns by to income statement, and change the display rows by column to class. This switches the columns & rows on the format. Now on the report select collapse and you will see your classes in rows and can click on them to see sub classes if you want and the income statement accounts are displayed across the top.
I am using this for items that have classes assigned to them so it works as I further filtered accounts to include only sales, COS and returns.
It's not great as when i add the qty column to the report display it wont give me the parent quantity total and I still have to click to see the sub classes totals.

Just to let everyone know. I use QB 2012 and the class subclass problem was there at that time!. Hey Intuit, it shouldn't take this long to make a simple change like this. Allow a report by major class,by checking the class, not subclass . Sue

Hooray for QB!!
...for adding the ability to collapse/expand columns in the financial statements in QB2020 (Enterprise).
This was a much more sensible solution than the one I proposed. Users are now able to collapse sub-classes and it is an elegant solution that complements the ability to expand/collapse rows. Well done.

The functionality to collapse sub-classes was added to QB2020 desktop. (Enterprise for sure and probably the other desktop versions as well). Users can now collapse/expand columns just like they could with rows. Well done QB. It is nice to know that you are listening. Keep it up.

It's very helpful to be able to collapse subclass columns into the parent classes. However, it appears that we still cannot collapse subclasses into their parent subclasses. This would be so much more helpful.
In the example below, I can collapse the Parent Class 1 Column, but I cannot collapse the Subclass 1B column on a report.

For now, we're unable to collapse columns by subclass if you're running a report by class.
