Yes, you can set up multiple users to approve Purchase Orders (POs) using custom workflows. If only the admin can approve currently, update the workflow template or assign the correct user roles to other team members.

Here’s how to add multiple users:

  1. Go to the Gear icon and select Manage users.
  2. Click Add user, then enter the user’s name and email address.
  3. Open the Roles dropdown, then choose the appropriate role for the user.
  4. Review the details, then click Send invite.

After sending, ask the user to check their email and accept the invite. They can create an Intuit account or sign in if they already have one.

To know more about managing users and their roles, see these resources:

Once your users are set up, you can adjust the workflow so that others can approve POs instead of just the admin.

Here’s how:

  1. Go to the Gear icon and select Manage workflows.
  2. Find your active Purchase Order Approval workflow and select Edit.
  3. Scroll down to the Do this section where the action is set to Request approval from.
  4. Under the Approvers dropdown, add users, then select Anyone approves.
  5. Click Save, then Save and turn on to complete the workflow.

Once active, designated users will receive email notifications or see pending tasks in their QuickBooks Online task manager to approve the POs directly.
