Question

Customer invoice views counts include the times I open the invoice from within Quickbooks online

In customer invoices, where is shows when an invoice was viewed - these view counts are including when I open and view an invoice from within Quickbooks online. It is not supposed to, but it is. I tested this by putting in one of my email addresses (not associated with Quickbooks) and sending the invoice.

I DID NOT open the email. Then I went to the invoice in Quickbooks, opened it, and the then the view count showed that view.  There were previously no views of this invoice.

Do I have to explain how much of a problem this is, or can you understand the severity of this?  I have also given feedback from within Quickbooks.  This is so frustrating and annoying.  How can Quickbooks have problems like this one that actually prevent it from being used how it is supposed to?

The whole point of this feature is to be able to prove that the customer received the invoice, and that they opened and viewed it.  Now we can’t prove anything if we also opened it at all in Quickbooks.

Wondering - has anyone here used another accounting software that is better than Quickbooks?  I used it for my other job for 20 years (desktop) and it was great, but these new updates make it basically unusable.

I completely understand why this is frustrating. You are entirely right; testing shows that opening an invoice inside QuickBooks accidentally triggers the "viewed" status. Our product team is looking into this as they work on fixing these system limitations. In the meantime, you can check your invoice history through the Audit Log to avoid adding false views.

Here’s how:

  1. Click the Gear icon, then select Audit log.
  2. Under the Events dropdown, choose All transactions.
  3. In the Search bar, type "Invoice."
  4. Select the invoice you want to view.

To keep your view count accurate, try not to click the invoice link in QuickBooks after it has been sent. You can also download or print a PDF copy to review the details instead of opening the live form in the software.

I have also submitted a feedback report to our team to help get this on their radar.

Let me know if you have any other questions.

@KenoLee_P  It’s cute how you say “ QuickBooks accidentally triggers the "viewed" status.”

It has been an issue in QBO for YEARSSSS, and none of you have even acknowledged the issue.  I highly doubt that anyone is “looking into it” after all these years of us all complaining about it.
