Question

Can I prevent inadvertently selling items that are out of stock?

When creating a sales receipt, Quickbooks is allowing me to sell an item which is not in stock. Is there a setting in Quickbooks that will prevent me (or warn me) from selling out-of-stock items?

Welcome to the Community, Douglas.

I'd love to assist you today so you can track your sales transactions in QuickBooks Online (QBO).

QuickBooks Online Plus and Advanced offer the option to establish alerts for products that are running low or out of stock. If you don’t have Plus or Advanced, upgrade your QuickBooks plan to start tracking your inventory.

With this feature, you can actively monitor your inventory levels, receive timely notifications to restock and gain valuable insights into your purchasing and selling activities. Additionally, you can easily include non-inventory goods and services in your sales forms.

Let's start with tracking your products' reorder points. A reorder point is the threshold when you should reorder more of an inventory item.

Here's how to set it up:

  1. From the Sales tab, select Products and Services.
  2. Locate the product and click Edit.
  3. In the Reorder point field, add the threshold when you should reorder more stock.
  4. Select Save and Close.

I encourage you to visit this article to learn more about how to track your inventory in QuickBooks Online: Set up and track your inventory in QuickBooks Online. It also contains information that will help you in restocking your inventory and generating reports to check the status of your inventory.
