Question

How can I lump all billable expenses as one line item? For example, "Materials." We are a construction company and the client doesn't want a 7 page invoice. Thanks.

Hi MAB_AK!

 

This is technically not a common practice in QuickBooks, but we have to provide the request of your client just because they are clients.

 

First option. You can create an invoice and enter one item to represent all billable materials. Then, download a PDF copy and delete it after sending it to your client. Then, recreate the invoice out of the billable expenses and attach the PDF copy to it.

 

You can ask your accountant if this is allowed by law, but that's how we can do it to cater to your client's request. Anyway, you'll be attaching the original copy should they have questions in the future.

 

Second option. You can create an invoice out of the billable expenses and give them a statement. In this case, I suggest you write something in the Message on statement box about the invoice. For example, Materials cost - Floor repair. That way, it'll show up in the description on the invoice line of the statement.
