Question

How to connect a system recorded deposit to an invoice?

Followed prompts from help menu. Did not work. QB told me to create a payment first. The money came to my account via QB payments, shows as a deposit on client account. Can't get the $ to go to an invoice, which continues to show as unpaid. Do I delete the system recorded deposit and start over?

Hello there, @mulitple emails for the batch.

I'm here to help you get your Deposit for your Invoices matched and organized.

There's are three steps to take for Invoices from start to finish:

  1. Create an Invoice to send to your Customer.
  2. Create a Receive Payment for your Undeposited Funds account.
  3. Get your Deposit from QuickBooks Payments. Since you have QuickBooks Payments, then the Deposit will automatically match your Invoices if you have your Bank Account connected to your QuickBooks Online. If it doesn't automatically match, then you can manually match the Deposit in your Bank Feeds.

Before following my suggestion, I recommend reaching out to your accountant for the best advice for your books. I recommend deleting the Deposit you've received from the QuickBooks Payments since it's not matching properly to the Invoice, and start over fresh.

Since the Invoice is there, you can start from Step 2 listed above. If you have that created, then make sure that it matches your Invoice information and it's listed under Undeposited Funds. Finally, we can create a Deposit. No worries, here's how you can do this with ease:

  1. Press on the + New button in the left-hand menu.
  2. Select Bank Deposit.
  3. From the Account drop-down▼menu, choose the account you want to deposit the money into.
  4. Choose the box for each payment you want to combine. Make sure the deposit total and selected payments match your deposit slip. Use your deposit slip as a reference. Remember, only select payments you need for each deposit.
  5. Select Save and close or Save and new.

That's all there's to it! You now have your transactions matched and organized. For more information on

If you need further assistance, please don't hesitate and reach back out! Have a good day.
