Question

I am using the freelance QB program. My clients pay me by cash or check, not electronically. This program looks like I need to receive payments online. Please advise.

Welcome to the Community, @amywade614.

I'm here to show you how you can enter cash and check payments manually, as well as how to change the status of the Invoices in QuickBooks Self Employed.

You would first need to register for QuickBooks Payments to receive payments online. This gives your clients the tools and flexibility to pay how they want. You can take payments by debit, credit, Apple Pay, phone order, or bank transfer.

Additionally, you can manually enter payments into QuickBooks if they pay you with cash or checks without signing up for QuickBooks Payments. In just three simple steps, you'll have the cash or check you've received from your clients entered into QuickBooks. Here's how:

  1. Go to the Transactions tab in the left-hand menu.
  2. Press on the Add transaction.
  3. Enter the details to enter them in your books.

That's all there is to it! You can refer to this Community Article to learn more about this process: Manually add transactions in QuickBooks Self-Employed

After entering the Payment, then you can go to the Invoice and change the status to Paid. I've provided the steps below on how easy to do this:

  1. Go to the Invoices tab in the left-hand menu.
  2. Locate the Invoice and press on Mark as paid under the Action column.
  3. A small window will appear asking if you would like to send a payment receipt.

That should do it! Let me know if you need any further assistance. Have a great rest of your day.
