My A/P account report looks odd.

Why does it look like when I put the payment in, I put it in accounts payable, but when I pay it, it does not credit it against payables.

Thanks for taking the time to reach out to the QuickBooks Community. I hope you're having a great day so far. 

 

There are many reasons this can happen, but the most common reason we see is our users will receive a bill from a vendor, then later on write a check to the vendor to pay the bill. This is where it can get mixed up. Although you wrote a check to pay said vendor, from the perspective of QuickBooks, you didn’t pay the bill (from the pay bills screen). So the system isn't necessarily registering it as paid. 

 

If this is the case for you, don't sweat it. You can fix this as easy as 1, 2, 3. Here's how (before making any changes to your account, please be sure to back up your company file😞

 

Step 1:

  • Edit the Check:
    • Open the check you wrote. In the "Expenses" tab at the bottom, ensure the Account is set to Accounts Payable and the "Customer:Job" column lists the Vendor's name. Save & Close.

 

Step 2:

  • Go to Pay Bills:
    • Navigate to Vendors > Pay Bills. You should see the original unpaid bill listed there.

 

Step 3:

  • Apply the Credit:
    • Select the bill you want to pay. Click the Set Credits button at the bottom. You should see your check listed as an available credit. Check it to apply it to the bill.

 

Step 4:

  • Finish:
    • Click Done. The "Amt. To Pay" should now update. Click Pay Selected Bills to finalize. Both the bill and the check will now disappear from your A/P report.
