non-profit quickbooks set up - is it wrong?

Hi, I'm in a new job and trying to de-cipher their books. My understanding is that as a non-profit with various funding sources we should be setting up particular grants as jobs and using classes for our various programs.

 

However, our current set up is that each Program is set up as a class and each grant toward that program is set up as a subclass.

 

Is this workable? Do we need to start over? Am I missing something? Thanks for your help.

The current set up will still work depending on how they record the transactions. However, if you want to organize your book with different reports for particular grants and programs, your understanding would be a great idea.

 

You can set up the particular grants as a customer/job and use class for each program. This way, you can easily run a specific report that shows transactions for each program and grants.

 

Most importantly, I still recommend checking with your accountant for more guidance. He/she may add suggestions based on what's more suitable for your business and to your books.

 

You can run these following reports in case you want to track donations in your QuickBooks Desktop:

 

  • Budget vs. Actual by Donors/Grants.
  • Donor/Grants Report.
  • Donor Contribution Summary.
  • Budget vs. Actual by Programs/Projects.

Thanks for this. I'm glad to hear it could work. Can you be more specific when you say, "The current set up will still work depending on how they record the transactions."  How should we be recording transactions? My concerns are arround recording expenses. I would like to be able to pull a report for each program that shows all of the expenses that would be coming out of various grants. Ideally I'd also like to be able to enter a budget for each grant and be able to allocated expenses across them. Thanks!

Hello there, @Emily77.

 

Since you are using the Class and Sub-class for the Grants and jobs. You will need to have each item at the expense of their respective class. 

 

In the meantime, the problem will be if the Grants will be accommodating other projects. In result will have multiple Sub-class with the same name and will not have a report to combine Grants that are affecting other Programs.
