What's the best and easiest way to log deposit from customers to start project?

We currently add a deposit line item as a negative amount to reflect deposit made and create a new invoice under customer to match the deposit payment. I feel like there has to be a better/simpler way to do this.

I like that you have your process of reflecting your customers' deposits by adding a deposit line item as a negative amount. However, there are better ways to do it. I'm happy to share them with you.

 

The best way to log deposits from your customers depends on your workflow. Here are the other options you might want to explore to record your customers' deposits:

 

The first option is to directly add a deposit to an invoice. Doing so will automatically reduce the total amount and calculate your customer's balance due. 

 

First, you must turn on deposits to add a deposit field to your invoices. Let me guide you on how.

 

  1. Click the Gear icon, then select Account and settings.
  2. Go to the Sales tab.
  3. Select Edit on the Sales form content section.
  4. Toggle the Deposit to turn it on.
  5. Click on Save, and select Done.

 

Once you've turned that on, a deposit field will appear on your invoices. Pick an invoice you want to add a deposit to and edit it. You can find the deposit area below the total. The customer's balance due should show right under that, as well.

 

The second option is to link a bank deposit to an invoice. Just make sure there is an invoice for the customer, the payment has been recorded through bank deposit, and you still need to enter and link the payment to the invoice.
