Question

With progress invoicing, is there a way for subtotal to be the full estimate amount, but the balance due to be the percentage?

For example, I have an estimate for $24,000 and I set it to 75% due. It's now showing $18,000 as the subtotal and balance due. Is there something I'm doing wrong or is this how it's intended to work?

Hi there, adriansproplumbi.

 

Currently, QuickBooks is unable to show the full estimate amount as subtotal when it's set up to 75% due. The balance due will show 18000.

 

For now, I suggest running the Estimate & Progress Invoicing Summary by Customer report to see the original amount of estimate and the balance due to the total percentage.
 
Here's how:
 
1. Click Report at the left panel.
2. Select the search icon and choose Estimate & Progress Invoicing Summary by Customer.
3. Find the estimate you created. Then click it to expand the page. From there, you'll see the original amount of estimate and the 18000 as Invoiced subtotal and also the Remaining subtotal.

This is not ok, Quickbooks. The point of progress invoicing is to provide a remaining balance due to our customer. We shouldn't have to print reports for them, it should reflect on their invoices.

This is not the impression we want you to have when using QuickBooks Online (QBO), windylou.

 

We can turn on the Account Summary feature to show the previous open balances on the latest invoice. This also provides customers with their current total account balance and all payments or credits on their last invoice. Just open the invoice template and turn on this feature.

 

Let me show you how:

 

  1. Go to the Gear icon on the top menu.
  2. Choose Custom form styles.
  3. Tick Edit on the template you're using for progress invoicing.
  4. Tap the Content button.
  5. Click the Table part on the sample invoice.
  6. Place a checkmark on the Show on invoice option under the Account summary section.
  7. Press Done.

If you need to give customers a complete transaction history,  send them a Balance Forward statement. Then, add details for each transaction in the statement. Just check out this article for the steps and details: Add an account summary to an invoice in QuickBooks Online. Then, go to Create and send Balance Forward statements section.
