Workflow statements sending monthly...how do I change it so it only sends statements for clients with a balance? I want to eliminate clients with credits or zero balances

Hello, cdill1.

 

We want to help you with your concern about editing transactions. However, changing the customer statement template isn't an option in QuickBooks Online (QBO). 

For now, you can choose to list each transaction as a single line, including all details, and show the aging table at the bottom of the form. To do this, you'll have to visit the Sales menu on the Account and Settings page. For the detailed steps, here's how:
 

  1. Go to the Gear icon.
  2. Choose Account and settings.
  3. Go to the Sales menu.
  4. Hit anywhere in the Statements section to open its contents.
  5. Tap the option you want (List each transaction as a single line, List each transaction including all detail lines, or Show aging table at bottom of statement).
  6. Tick Save.

 

Additionally, you're able to customize your sales forms like invoices, quotes, and sales receipts. This is to add information that matters most to your business. I don't need to change the template, I only want clients with a balance to receive a statement.  Why does QB send zero balance and credit balance statements to the clients?  There should be an option to select >$0 only.

Let's set the customer statement to open balances in QuickBooks Online. This helps us filter the unpaid transactions. He's how:

 

  1. Go to the Get Paid & Pay menu and then select Customers.
  2. Choose the customers with open balances.
  3. Click the Batch actions and then select Create statements.
  4. On the Statement Type, choose Open Item.
  5. Select the correct date.

  6. Review the transactions, then click Save and send.
