Your One Stop For Bank Transactions in QuickBooks Online

QuickBooks Online has everything you need to complete a successful reconciliation and it all starts with your bank transactions! Since you’ve already connected your bank account to QuickBooks Online, I’m going to walk you through common scenarios you may encounter and what to do. Consider this your one stop shop for banking transactions. Let’s dive in! 


Sometimes you’ll find that a transaction that’s been pulled over is a duplicate. This can happen for a few different reasons, most commonly because someone has already entered it manually in QB Online. It's very easy to fix within your account, just follow these steps below:


  1. Go to the Banking menu, then select the Banking tab.
  2. Choose the For Review tab.
  3. Select the checkbox of the transactions to exclude.
  4. Click Exclude.


Did you accidentally exclude the wrong transaction? No worries!  Simply go to the Excluded tab, select the transactions and choose Undo. That pulls it back to the For Review tab and from there you can determine the next steps. :)


You might also encounter a situation where you notice you don’t see the same transactions in QuickBooks that you do on your bank’s website. Here’s what to do:


First, try syncing manually from within QuickBooks Online.

  1. Go to the Banking menu, then the Banking tab.
  2. Select Update.


Take note of any prompts or errors that show up. If you’ve changed your username or login information with your bank, that will need to be updated in QB Online as well.


  1. Go to the Banking menu and click on the Banking tab.
  2. Select the tile up top for the right bank account. 
  3. Choose the Edit ✎ icon.
  4. Select Edit sign-in info.
  5. Update your info as needed.


Lastly, let’s tackle how to manually upload transactions through a CSV spreadsheet. You may find yourself needing to do this if your bank’s website is down or something is wrong with the connection. Thankfully this is a simple process and gets your transactions in your account in no time. 

  1. Go to your bank’s website and follow their instructions for how to download a CSV file for the date range you need. 
  2. In QuickBooks Online, go to the Banking menu and select the Banking tab.
  3. Choose the blue tile containing the account you want to upload the transactions into.
  4. Select the Link account ▼ dropdown and then Upload from file.
