QuickBooks Online (QBO) sets the Undeposited Funds as the default account when receiving payments. However, you have the option to change the mapping setting and choose which account  you want to set as default.

 

I'll share with you the steps on how to change the mapping settings from within QuickBooks Online:

  1. From the left menu select Apps.
  2. Select Firm apps.
  3. Choose Settings from the Action drop-down.
  4. Select Edit in the App Settings section.

When you mean the account your payments come from, does this refer to the account you use to pay a bill or expense?

 

You can change this account by creating a new expense or bill payment or opening an existing one, then selecting the Payment account drop-down next to the Payee field on the top-left corner. From that drop-down, select the account you want to pay the bill or expense from.

I am trying to change the undeposited funds account to something else as well but when I follow your instructions I don't see "Firm Apps" am I missing something?

Thanks for reaching out. Are you able to provide a little more information on what you are trying to do?


If you are also trying to change the default Account for PayPal it's done through the App settings. You should see Apps in the left menu bar.

If you are working from an Accountant file you will see Firm apps under your Apps section in your Firm file.

I use my Pet software to do all my invoices and such but QB for the accounting aspect. When funds are deposited into the bank, it always wants to go into undeposited funds. I want to change it to automatically go to my checking account as it keeps causing errors.

If you use a third party app that imports your transactions into QuickBooks, you will need to review the app's settings to change the default mapping of accounts. 

 

  1. Select the Apps menu on the left, then click on My Apps.
  2. You should see a menu you can click to edit or access settings, depending on the app. If you are unclear on which setting to adjust, you may need to reach out to that software's support team (go to the App store, search for the app and look for a contact or support section). If you don't see any option to edit settings or so on, it's possible your accountant has set this up in which case you will need to reach out to them to edit the app's settings.
