New to QB and trying to establish professional templates. 

 

Seeking advice on the following:

 

1 Is there any way to show all the totals on the same page. Currently depending on transactions  the Includes GST and Total is on one page and balance due on another.

2. Can we show table headings of both pages.  (the second page in this example does not include our company logo etc.

3. Banking details. How can we reflect our banking details on the forms? (do not wish this to be on the footer)

4..Can we modify the PO / Statement templates to show different logos and addresses.

5.  I understand we cannot allocate  a default sales template to individual client  cards. Is there a way we can prompt users to select the correct template when issuing invoices vs mistakenly using the default template.  (Banking details differ depending on trading name and location - eg our USA clients may pay into a USA nominated account etc)

Is the total spilling over to the next page in other invoice designs, for example Airy classic or Modern? Changing the design may be an alternative to getting the total to shift up.

 

If you have set up the person as a Standard user, with limited access to Customers, then they won't be able to edit the message details, or any part of the invoice. However if they're set up as an admin, they can change anything.

Hi Learning111,

 

1. For the invoices that have the Balance Due on the second page, is this because there are many line items for that invoice? Try reducing the font size to either 10pt or 8pt and see if this puts the totals on the same page.

2. The reason its not showing the company logo on the second page is because the invoice is spilling over from the first page - there currently isn't a way to have the company logo display on the second page too.

3. You can add banking details in the Message to customer section on the Content tab. Refer to this screenshot on where it is:

4. Currently you cannot change the logo or address listed on Purchase Orders or Statements - they carry over from what is listed on the Company Settings.

5. In this scenario, I would recommend naming the template with something like the client's name, or  a keyword that identifies the invoice template. Then, when you want to switch invoice templates, select Customise at the bottom of the page while you're in the invoice, and select the correct one for the customer.

Yes very helpful but a few more questions :-)

 

1. Yes - reason for some totals appearing on one page and others on the next is due to transactions. To change the font size will be to small. Is there an alternative way.

2. If we enter the banking details as a message  (per your screenshot) - will the person keying in the invoice details have the ability to amend or delete this message?   How do other people reflect their banking details?
