Add leads and opportunities in the Customer Hub
Learn how to add a lead in the Customer Hub, then assign that lead to an opportunity. You can keep track of potential customers and deals in one place, from first contact to won.
A lead is a person or business you hope to sell to. An opportunity is a specific deal you're working on. One lead can have more than one opportunity open at the same time. Here you'll learn how to add a lead and manage their information. You'll also assign leads to opportunities so you can track a potential sale.
Note: The Customer Hub is available in QuickBooks Online Plus, QuickBooks Online Advanced, Intuit Enterprise Suite, and Intuit Accountant Suite. What you see depends on your subscription.
Where to find leads and opportunities
The Customer Hub keeps this work on two pages.
- Customers & leads: Your contacts. The Customers tab lists the people you've sold to. The Leads tab lists the people you haven't sold to yet.
- Opportunities: Your open deals and the stage each one has reached.
How do I add a lead in the Customer Hub?
Add a lead by hand when someone contacts you outside the channels we already watch.
- Go to All apps, then Customer Hub, then Customers & leads.
- Select the Leads tab.
- Select + Add lead.
- Enter the name and contact information, then select Save.
Your new lead appears on the Leads tab. You can assign them to an opportunity whenever you're ready.
Note: You can also add a lead from the Opportunities page. If you start there, create the opportunity first, then add the lead to it.
What happens after you save a lead
When you save, we check the name and contact information against your existing records. If we find a match, we flag it as a duplicate. You can then update the existing record with the new details instead of creating a second one.
Your updated information appears with the rest of your leads.
How do I set an opportunity's status and stage?
Status and stage belong to opportunities, not to leads. Status tells you how warm the deal is. Stage tells you how far along it is.
- Go to All apps, then Customer Hub, then Opportunities.
- Find the opportunity you want to update.
- Select the Status dropdown, then choose Hot, Warm, or Cold.
- Select the Stage dropdown, then choose the stage the deal has reached.
Your opportunity now shows its new status and stage. In the Kanban view, the card moves to the matching column.
Your pipeline stages
Your stages are yours to set up. A new pipeline starts with four, each carrying a win probability.
- Inquiry: 10%
- Discovery: 25%
- Negotiation: 50%
- Won: 100%
We use the win probability to work out the weighted value of your pipeline. You need at least 3 stages, and you can have up to 10.
To rename, reorder, or add a stage, select Manage stages. Won always stays at 100%, and you can't remove it.
Opportunity states
State is separate from stage. Use the State filter to show Active, Inactive, or Lost opportunities.
Note: A lead can have more than one opportunity at the same time. Set the status and stage on each opportunity separately.
How do I create an opportunity and assign a lead?
In the Customer Hub, you create an opportunity first, then assign a lead or customer to it. Every opportunity has one attached.
- Go to All apps, then Customer Hub, then Opportunities.
- Select Add opportunity. You can also select + Add opportunity inside a Kanban column.
- Assign the lead or customer you're working with.
- Select the Stage dropdown, then choose the stage the deal has reached.
- When you agree the deal, set the Stage to Won.
- If prompted, select Confirm to update the customer record.
Your opportunity now tracks that deal. Update its stage as the deal moves along.
What happens when you win an opportunity
- A new lead becomes a customer. You'll find their details on your customer list and on their customer profile.
- For an existing customer, the deal details appear on the Opportunities tab. They also appear on the Opportunities tab of their customer profile.
