Getting started with Swag for QuickBooks Payroll powered by Employment Hero

Swag is a companion app for QuickBooks Payroll that allows employees to access self-service functions from their mobile device.

The new and improved app looks a bit different, has a new name and exciting functionality.  As a manager, the Swag app provides an easier user interface for swapping between being an employee needing to request leave and a manager who needs to approve timesheets. 

This article will teach you about:

  1. Launching Swag for the first time
  2. Navigating the dashboard
  3. The Manager toggle switch

Launching Swag for the first time

Firstly, you need to download Swag from the iOS App Store or Google Play Store.

To log in, enter the email address and password you use to access your Employee Self Service Portal.

Create a 4-digit quick access pin that you’ll have to enter each time you open the app.

Note: If you don’t have access to your Employee Self-Service Portal, contact your employer who can grant you portal access. If you have been given portal access, refer to our article on setting up your portal account.

Navigating the dashboard

  1. Open the Swag app and log in.
  2. When you open the Swag app and tap on the yellow Work icon, it is in the Home view. From here you gain a quick view into your personal profile overview of the following:
    1. Last pay slip. Which can be hidden or shown - simply tap the eye icon to change.
    2. Last pay date.
    3. Roster and shift dates. 
    4. Clock in/out button.
    5. Leave allowance.
    6. Profile/Employee Files View.

Each of these views can be tapped to provide instant access to the various functions of the app, or you can use the function bar across the top of the Dashboard to select: Pay slips, Leave, Timesheets, Expense, Rosters or Unavailability. 

There is also the option to access your profile details by tapping on your profile icon in the top right hand corner. This will lead to other options such as bank details and other organisation log-in options. To read more on navigating your personal profile, read here

To return to the Dashboard or Home view at any point, tap Home

The Manager toggle switch

The key maneuvre you need to know as an employer or manager is that in any view or part of the app you can toggle between the manager and employee view using the yellow switch at the top of the page.

  1. Slide it to the left to be in "My" employee view of any of the work functions.
  2. To access the management view, slide the switch to the right. You will know you are in the right position when you can see the alternative option is a singular person.
