How to convert a quote to an invoice with a lessor quantity of product then quoted? will this then put outstanding items on back order?

i have a quote for a client that for eg has 100 eggs. i can only sent 90 eggs. how to i create an invoice for this and not close the quote?

You can enable the progress invoicing feature in QuickBooks Online. Progress invoicing lets you split a quote into as many invoices as you need.

 

Here's how to turn on progress invoicing: 

  1. Go to Gear icon and select Account and Settings.
  2. Select Sales tab.
  3. In the Progress Invoicing section, select Edit.
  4. Select the Create multiple partial invoices from a single quote checkbox.
  5. Select Save and Done.

To create a progress invoice from a quote: 

 

  1. Go to Sales and select All Sales.
  2. Find the quote on the list.
  3. Select Create invoice from the Actions column. You can also open the quote and select Create invoice.
  4. Decide how much you want to invoice for, then select Create invoice. You can charge for a percentage or a specific amount. If you choose Custom amount for each line, enter a specific amount for each item on the invoice.
  5. Fill out the rest of the invoice.
  6. Select Save and new or Save and close.

The quote will remain open until the total quantity of the quote matches with the invoice you've created.

Hi. thanks for the quick reply. i have done all as instructed. however you can not change the quantity to invoice. i can change a percentage or dollar variation only. I sell products only, no services. the example i used on the community board is i have quoted 100 eggs. i need to dispatch what i have which is 92 eggs and the balance of the quote is 8 eggs. i don't want the quote to close as the 8 eggs are now on back order. i hope that helps understand our situation here. thanks in advance for your help with this.

I understand that you wanted to change the quantity of the invoice from a quote however as of the moment, you can only select percentage or amount on it. On the invoice Due column, you can select Amount and the next field on it enter the total amount to be paid for 92 eggs (quantity x price). The status of the quote will be changed to Accepted and you can select Create invoice to invoice the remaining quantity of the quote. The quote will automatically marked as closed once you've invoiced it all. Also, you can run a report called Quotes & Progress Invoicing Summary by Customer to see the invoiced amounts and remaining amounts to invoice.
