Is it possible to add notes to an invoice that aren't visible to the customer

Hi Sue5,

 

If you've subscribed with QuickBooks Online Essentials or Plus version, you can turn on the Custom field option add a Note field on your invoice, and set it to Internal so it will only be visible in QuickBooks Online.

 

Here's how:

 

  1. Click on the Gear Icon.
  2. Click on Custom form styles.
  3. Click on Edit for Standard template.
  4. Click on Content tab, and click on the first box on the preview to the right.
  5. Scroll down and look for Custom fields, and click on Manage Custom fields.
  6. Click on Add field, and enter a name like Notes.
  7. Make sure to turn OFF Print on form.
  8. Click on Save.

Once done, create a dummy invoice and the Notes entered field will be available for you to enter a note visible only to you and in QuickBooks Online.

 

Another area you can enter the Notes is by adding it in the Description column of the invoice and untick the column in Custom form styles so it will not show up on the sales forms.
