Reporting on Custom Fields

I have created a custom field in our Sales Invoice called - Sales Person.

 

Questions as follows:

 

1. Is there anyway that I can show this as a drop down field in order to maintain consistency when enter these names. My concern is that one user will say M. Smith and another one Mark Smith!

2. Is there anyway we can extract reports on Custom Fields.  What I am hoping to do is extract a Profit and Loss report by class and show who the sales person was along side this report or alternatively which sales person raised revenue, is responsible for their invoices etc. 

 

Additionally  - Can we do any reporting on our custom fields or is this a static field that can only be included on sales invoices. 

 

Can they be included on Purchase orders / invoices.

Reporting on Custom Fields

Hello there, Deano2. 

 

While the option to show the drop-down arrow on the costumed field is unavailable, I suggest entering it manually. To pull up this information in your sales report, you can use the Sales by Customer Detail. You can also filter it to show the Class

 

Here's how: 

  1. Go to the Reports page, and enter Sales by Customer Detail in the search field. 
  2. Click the Customise button.
  3. Filter the Report period and then click Rows/Column to view more details.
  4. Select Change columns and check on the Sales Person and Class box.
  5. After, click Run report

You're correct, the custom fields are applicable for sales transactions. You can run any sales report by detail for you to show the custom fields. Reports like, Sales by Class or Product/Service Detail Report

 

In addition, you can add custom fields on the Purchase Order. However, they won't appear on the reports mentioned above. 

 

Here's how: 

  1. From the Gear icon, click Account and Settings
  2. Select Expenses from the left menu.
  3. Then, click the Purchase orders section. 
  4. Enter the name for the custom field and check the box beside it. 
  5. After, click Save and then Done
