Set up and Use the QuickBooks Time + Intuit Online Payroll Integration

Note: The IOP Chrome extension is no longer available to add. Use these instructions if you already use this integration option. We recommend checking out our other Intuit integration options for managing payroll.

The QuickBooks Time + Intuit® Online Payroll (IOP) Integration allows you to easily export employee names to and import hours from QuickBooks Time.

When using the integration for the first time, we recommend that you perform, in order, the instructions in the first four sections below.

If you are an accountant, before performing any of the following, you need to perform the steps in: How to Manage Payroll for Clients Who Use Intuit Online Payroll and QuickBooks Time.

 

How to Set Pay Periods

Make sure payroll periods in QuickBooks Time match those in IOP. In QuickBooks Time, go to  Company Settings Payroll & Overtime Pay Period.

How to Get the Chrome Extension

  1. Select this link, and, at the top right, select ADD TO CHROME Add extension.
  2. Sign in to IOP. In IOP, select the Payday tab and find the QuickBooks Time drop-down menu in the top right corner.
    Note: If you already had the Payday window open, refresh your browser to see the extension.
  3. Select the arrow next to Import Time > select Connect to QuickBooks Time > enter your QuickBooks Time admin login information.

How to Export Employees to QuickBooks Time

Note: If you are an accountant, before exporting employees, be sure to access your client's IOP account through your IOP account.

  1. In IOP, at the top right, next to Import Time, select the drop-down arrow.
  2. Select Export Employees.
  3. Select the employees, and select Export Employees.

How to Import Hours into IOP

Note: If you are an accountant, before importing hours, be sure to access your client's IOP account through your IOP account.

  1. Select the Payday tab.
  2. On the left, from the drop-down, select a pay period.
  3. At the top right, select Import Time.
  4. If this is the first time you've imported time, you'll be asked to sign in to your QuickBooks Time  account. In the pop-up, enter your email or QuickBooks Time user name, your password, and select Sign In Allow.
  5. In the Import Results pop-up, select OK. If you see a "No match" message, make sure that the employee listed exists in both QuickBooks Time and IOP and that the spelling matches exactly. If you make a name correction, select Import Time again.
  6. (Optional) Make manual adjustments to the hours shown in the IOP columns. This will not affect the hours shown in QuickBooks Time.

How to Add, Edit, or Delete Hours

If you make changes to hours in IOP, those changes will not appear in QuickBooks Time. To make sure hours sync between IOP and QuickBooks Time  (for purposes such as audits), add, edit, or delete hours in QuickBooks Time, then, in IOP, re-import them.

How to Disconnect from and Reconnect to QuickBooks Time

  1. In IOP, at the top right, next to Import Time, select the drop-down arrow.
  2. Select Disconnect from QuickBooks Time or Connect to QuickBooks Time. When you select Disconnect, IOP and QuickBooks Time will be instantly disconnected. When you select Connect, you will be asked to sign in to QuickBooks Time.
