I have QuickBooks online, I have an iPad with the app and my iPhone with the app. I want to take photos of my receipts and then match them with transactions in my banking accounting.
so far I have figured out I can take the photos with the self-employment app and review them but then I’d need to pay a subscription for that but I’m sure I can do it with QBO, I just can’t work out how. I have googled and searched here and the instructions I have found, aren’t the same as the app. I’m in Australia, I don’t know if that makes any difference to what I am trying to do.
Hey there, Taleenee.
I want to make sure you'll be able to match your receipts in QuickBooks Online. You might want to ensure that you're not using the HEIC format images since this isn't compatible with QuickBooks app. You can use the PDFs, jpeg, jpg, gif, or png.
To convert HEIC format images, see Apple's documentation to change the type of photos your device takes. After that, try matching them with your downloaded transactions via a web browser.
You can get more details about this feature as well as categorising them in the following articles below:
Feel free to get back to me if you have any other questions. I'll be right here to assist you.
So I clicked on the link you provided for Capture and categorise receipts in the Receipts tab, it’s says, “To scan a receipt, install the "QuickBooks Online Accounting: Invoicing and Expenses" mobile app on your phone. Then, open the app and tap the menu button. Select the Receipt Camera, and snap a photo of your receipt.“
I have both the iPad and iPhone apps and there is NO Receipt Camera to select anywhere! So how am I supposed to do that?
Hi Taleenee,
Thank you for following up on this and sorry about the confusion.
Can you see a (+) icon on the bottom right hand side when you open the QuickBooks Online Accounting App on your iPad or iPhone? From there, can you tab on expense? You should see an camera icon on the next screen on the top left hand side.
Please make sure you have granted QuickBooks access to the Camera in your iPhone and iPad setting and let us know if you require additional assistance.
Thank you for that, that works, however I just want to take photos and then review them, not have to input all the info on each one. I’m doing a year and a half worth of receipts because I’m just starting to get it sorted.
it would also be nice if those instructions were updated in the help section.
Hi Taleenee,
Thank you for raising this with us.
At the moment there is no way to do this process in bulk in regards to your situation, they will have to be entered one by one.
At the bare minimum, you will have to enter the payment method, chart of account and tax code in order to save.
I will be recording your feedback for this and sending it to our product team on your behalf.
Feel free to go into Settings (cogwheel) > Feedback where you can type in a direct message to the product team and voice any kind of feedback or concerns that you might have.
Kristian.
Hi again Taleenee,
This is just the way that the products are engineered, one has features which the other doesn't.
Another possible solution that you could try - take all photos at once on your phone/tablet.
Then you can go through each individual expense and add the corresponding photo that goes with it.
Other than this I don't see any other possible solutions.
Kristian.
This is super lame that this format has been out for years an QB doesn't support it. Changing the file format for everything is a hack that punishes all of us users.
I also would like QB to update the format so we can use photos taken with an iphone! All my business and bookkeeping clients use Apple, so this is a necessary update requirement by QB, that is urgently required. It is hard enough getting receipts, let alone having to convert them all to PDF or something else.
