I voided an invoice with billable time linked to it and need to recreate the invoice but the billable times no longer show up.

 What to do?

Voided invoices

Welcome to the Community, @301.

To link your billable time to your new invoice, first, you have to unlink that from your voided invoice.

Here is how:

  1. Log in to your QuickBooks Online account.
  2. Go to the Sales tab, then click Invoices.
  3. Select the specific invoice by looking at the Status column as Voided.
Note: Verify the information of the voided invoice if it’s the correct one.
  4. Click the Chain icon along the transaction line to unlink the bill.
  5. Select the Remove tab to confirm.
  6. A prompt for the option to link the transaction to invoice will be available.
  7. Edit the invoice transaction and click the Add button of the bill expense.
  8. Hit Save and close.

To learn more about this process here's a great resource: How to undo a voided transaction.

Please let me know if you have any other concerns. I want to make sure everything is taken care of for you. Have a great day!

Voided invoices

Thanks for posting to the Community, @gf21. I've got a couple of steps and info to share to handle this voided invoice with billable time.

In QuickBooks Desktop, you can pull up the Time by Name report. From there, you can review the billable time and re-enter the details and link it to your invoice. Let me show you how.

  1. From the QuickBooks menu bar, select Reports, then job, Time and Mileage, then Time by Name.Capture.PNG
  2. Select Customize Report tab.
  3. In the Display window, add more columns to your report.
  4. Select the Filters tab then choose the names of items you want to include on the report.
  5. Tap OK to apply your selections.Capture.PNG
  6. Click OK on the next window to save your changes. Then, review the details and reenter if necessary.

Once done you can now create an invoice and link the billable time again.

  1. Go to the Customers menu at the top and pick Create Invoices.
  2. Select a Customer: Job name then, choose the Select the outstanding billable time and costs to add to this invoice? on the Billable Time/Costs popup, then OK.
  3. Go to the Time tab and put a checkmark on each transaction.
  4. Add the Expenses or Items if necessary.
  5. Click OK.Capture.PNG
  6. Select Save & Close or Save & New.

Though, the steps and articles are QuickBooks Desktop US but this can also be works for other countries as well. For additional information about the steps I've shared above, check out these articles for further guidance:

To personalize your invoices and get the info you need, you can customize them. Please read through this resource for further insights: Use and Customize form templates.

Additionally, with QuickBooks Desktop's job costing tools, you'll be able to see how much money you spend and make for each job. To accurately record your job cost, you can refer to this article for the complete details: Tracking job costs in QuickBooks Desktop.

Let me know if you have other questions about this topic, so I can check on them for you. I'm also here if you need anything that's QuickBooks-related. Have a lovely rest of the week!
