Why is a team member's time entry highlighted in yellow?

A team member can not clock in on the mobile app. They get the message "Error: Your timesheets have been submitted up to Dec 12, 2024. You may not change or create any timesheets before this date." Note our pay week ends on Dec 12. When I enter their time manually, the time is highlighted yellow. I have scanned time entries ahead of today and can't see any entered for this member. We do not have payroll set up. Note this team member did get a new mobile phone number and forgot his password. He had to be re-invited via a new email address that he had to set up on the advice of support. If anyone can please point me in the right direction it would be greatly appreciated.

Why is a team member's time entry highlighted in yellow?

First, there are two main factors to consider:

  1. Your employee may have submitted their timesheet using an old device. To check this, I recommend looking at the actions taken on the timesheet. You can do that by referring to this guide: View QuickBooks Time timesheets.  This will give you insights into clock-ins, clock-outs, and other activities related to the timesheet.

    Once confirmed, you can unapprove or reject the entry. Here's how to do that:

    In QuickBooks Online

     

    1. Click on Time, then select Time entries.
    2. If you're viewing by Date, choose Approvals.
    3. If you prefer to see all entries, change Display by to All workers.
    4. Filter the date range, and in the Status dropdown, select Approved.
    5. Locate the time entry you wish to unapprove and choose Unapprove.
    6. Finally, confirm by selecting Unapprove to unlock the time.

     

    In QuickBooks Time

     

    1. Go to Approvals.
    2. Choose the report dates and team members, then click Run Report.
    3. To unapprove the timesheet, click on Unapprove. If you want to reject it instead, select Reject.
    4. Don’t forget to enter a reason for the rejection and then click Send.

  2. The second possibility is that your team member's access might be restricted.


    To fix this:

     

    1. Access the web dashboard and choose My Team.
    2. Open the profile of the relevant team member and click on Permissions.
    3. Ensure that Mobile time entry is enabled.
    4. Once that’s completed, everything should sync, and your employee will be ready to track their time in the app.
