Manage timesheets as an employee using the Swag app

The Timesheets feature allows you to submit a timesheet via the Swag app and specify details such as the start and end time of your shift, breaks taken, the work type it falls under, and the location where you worked these hours. You can also use this feature to add your standard hours, copy timesheets from the last fortnight, edit any information if it has changed, and delete an entry that is no longer required.

How to access timesheets

  1. Search Swag in the App Store for iPhone users, or the Google Play Store for Android users.
  2. Log into the app using the same login credentials you previously used for WorkZone.
  3. If you have forgotten your log-in details, tap on the link to request a magic log-in link. This emails you a magic login link to your registered email address.
  4. From the Swag home screen, tap on Work.
  5. From the Work home screen, select Timesheets from the menu across the top of the screen.

How to manage timesheets

  1. Log into the Swag application.
  2. Tap on the Work icon.
  3. Select Timesheets from the menu across the top of the Home screen view.
  4. You will be in the My Timesheets view.
  5. Tap the Add button.
  6. Tap the New timesheet button.
  7. Complete the following fields:
    1. Work type.
    2. Work award.
    3. Location.
    4. Date.
    5. Start time.
    6. End time.
    7. Break start.
    8. Break end.
    9. Notes.
    10. Tap the Add attachments button to add any supporting documents.
    11. Tap the Apply this timesheet to  button to submit this entry across
      multiple dates.
  8. Tap the Submit button.
Tip: You can also add timesheets for advance hours in the future that you have not yet worked.
Important to note: You can only edit timesheets that have not yet been approved.
  1. Log into the Swag app.
  2. Tap on the Work icon.
  3. Select Timesheets from the menu across the top of the home screen view.
  4. Select the timesheet that needs editing.
  5. Make the required changes and tap Submit.

  3. Select Timesheets from the menu across the top of the home screen view.
  4. Tap the Add button.
  5. Tap the Copy from last week button.
  6. You will be shown any drafts you have.
  7. Tap the Submit Drafts button. You can also Discard any unneeded drafts here.
Important to note: You can only delete timesheets that have not yet been approved.
  1. Log into the Swag app.
  2. Tap the Work icon.
  3. Select Timesheets from the menu across the top of the home screen view.
  4. Tap the timesheet that needs deleting. You can only delete timesheets that have not yet been approved.
  5. Tap the Delete this Timesheet button.
  6. Tap Yes Delete Timesheet.
  1. Log into the Swag app.
  2. Tap on the Work icon.
  3. Select Timesheets from the menu across the top of the home screen view.
  4. Tap the timesheet you want to view.

Your timesheet will appear differently depending on its status of either approved, declined or submitted. 

Important to note: You'll need to have a confirmed leave request to add this into your timesheet.
  1. Log into the Swag application.
  2. Tap on the Work icon.
  3. Select Timesheets from the menu across the top of the Work home screen view.
  4. You will be in the My Timesheets view.
  5. Tap the Add button.
  6. Tap on the leave request.
  7. Enter your leave type, leave period, leave amount, date, and start and end times, then tap Submit.
