Memo/Description column on report is blank

The Memo/Description column on reports derives its information according to the type of report that you are viewing.

 

If the report that you are viewing looks at a transaction on a 'per line item' basis, the Memo/Description column will display the information entered in the Description column of the individual line items in a transaction. If the Memo/Description column on the report is blank, that means the transactions have no information entered in the Description column for each individual line items for the component transactions within the specified date range. To resolve this, edit the transactions and enter the appropriate information from the Description column accordingly. Examples of reports that look at a transaction on a 'per line item' basis are the 'Transaction Detail by Account' Report, 'Transaction Detail by Tax Code' Report, 'Sales by Customer Detail' Report, 'Sales by Product/Service Detail' Report, 'Purchases by Product/Service Detail' Report, 'Purchases by Supplier Detail' Report, etc.

 

On the other hand, if the report that you are viewing looks at a transaction in its entirety, the Memo/Description column will display the information entered in the Message displayed on statement field (for Invoices, Adjustment Notes, Sales Receipts) or Memo field (for Expenses and Bills). If the Memo/Description column on the report is blank, enter the required information in the Message displayed on statement field (for Invoices, Adjustment Notes, Sales Receipts) or Memo field (for Expenses and Bills), as deemed necessary. Examples of reports that look at a transaction in its entirety are the 'Transaction List by Date' Report, 'Invoice List by Date' Report, 'Transaction List by Customer' Report, 'Transaction List by Supplier' Report, etc.

Memo/Description column on report is blank

This is really not good enough...
I do my transactions using bank feeds.  And the Details are clearly done in "Description".

I am not happy to I have to go to each ad every bank transaction, copy from the "Description" Column, and put into the "Statement" Column..... What a waste of time.
Surely the IT can fix  this?

Thank you for reaching out to the Community. QuickBooks will only depend on the transaction details sent from your bank to our system. Let's try to isolate this case by logging into your account using a private window, to double-check if this unusual behavior is caused by a browser issue.  

 

To start, log into your QuickBooks account using a private browser/incognito. Here's how: 

 

  • Press Ctrl+ Shift + N keys on your keyboard (Google Chrome).
  • Press Ctrl+ Shift + P keys on your keyboard (Firefox or Internet Explorer).
  • Press Control+ Option + P keys on your keyboard (Safari).    

 

If the private browsing session works, it means that you need to clear the browser's cache so the system can start fresh. You can also do this task on other supported, up-to-date browsers. Clearing the cache will refresh the system, and you'll be able to work with clean trash.   

 

On the other hand, If the same thing happens, you can reach out to our customer support team. They have the tools to pull up your account in a secure session and help you rectify the issue.  

 

Keep in mind some options are only available at certain times. You can contact us every Mondays to Fridays from 8:00 AM to 10:00 PM. Then, until 6:00 PM every Saturdays.

Memo/Description column on report is blank

Hi, Could you help me please.

 

I would like my memo from my bank account to match the description in the contra account. For example if I enter a expense from my bank statement and say memo: "CNA Shop"- How can I get the memo: "CNA Shop" to appear in the description in the Stationery account for that line item when pulling a Transaction by detail Account report.

Or do I have to do this manually

I’ll guide you in the right direction on how to show the memo on the report.


When you use the bank feeds feature, QuickBooks Online automatically downloads transactions. To show CNA Shop in the Transaction Detail by Account Report, you’ll have to manually enter the information the Memo field.

 

With just a few clicks you can accomplish this task. Here’s how:

 

  1. In QBO, tap the Banking menu to choose the Banking option.
  2. From the list, select stationary account.
  3. In the For Review tab, click on the expense to expand the line.
  4. Go to the Memo field and type in the information.MEMO OLB.png
  5. Click Add to keep the changes.

 

When you run the Transaction Detail by Account Report, the information will show in the MEMO/DESCRIPTION section. Click on this link to learn more about customising reports in QBO.MEMO OLB.1.png MEMO OLB.1.png


However, if you upload the bank data via a CSV file, key in the memo in the Description column. Then, map the fields correctly. This is to ensure the information will show on the Banking page.
