Can't view attachments after 2020 update

Hi,

I have been attaching copies of bills to my entries in Quickbooks for the last 4 years. Since updating to Quickbooks Pro 2020, while the attachments appear to still be attached, I can no longer view them. I get this error message:

 

use the appropriate form (e.g. Invoice, Sales Receipt, Bill) to enter this transaction <br><br><a

 

Has anyone seen this before? And what is the fix?

It's awesome to hear that you've been a member of the QuickBooks family for many years and I hope QuickBooks Desktop is serving your business well. Staying up-to-date with the latest versions is a great way to take advantage of the latest features the program has to offer business owners. I see how not being able to access the attachments you were adding previously though could cause issues. I've got an idea of what might be going on and am here to help.

 

Attachments added to transactions in QuickBooks Desktop are always added into the same folder as the company file. This creates a link between them that allows the program to read and display the documents for you. If during the upgrade you moved your company file, but didn't move the attachments folder, that could be what's broken the connection. Don't worry, we can fix this. The first thing to do is go into your system and move the attachments folder to the same folder as your company file. If you're not sure how to do that, I recommend touching base with a IT professional.

 

Once you've done that, let's re-establish the link. Follow these steps.

  1. Select the Company menu from the top menu bar.
  2. Hover over Documents and choose Repair Attached Document Links.
  3. Click Open Company File Folder.
  4. Ensure that both the company file and the Attach folder appear in the window that opens, then you can close it.
  5. Click Repair Links.

This should re-establish the connection, so following these steps, try looking at an attachment on a bill again to see if you're able to view it.

 

You can also try the repair links steps above even if you didn't move the company file, just to be sure that the program is properly reading the attachment information.

 

Afterwards, if you're still having trouble, I recommend getting in touch with QuickBooks Desktop support directly. An agent will be able to gather more details and take a closer look at what's going on with you to work this out. When a client sends their backup file, does the attach file go with the backup?  We cannot view the client's attached documents.  When I try to repair the attach documents link as you recommended, there is no attach file, but there is an images file...HELP!

I'm excited to see what you're using QuickBooks Desktop to work with your client. I know how important it is to get a full sense of the information you're working with, so it makes sense that you're looking for the attachments that your client would have included with transactions in their books. I can explain what's going on.

 

The way attachments work for QuickBooks Desktop is that they're saved to a specific file on the user's computer, which is then what the program goes to reference to bring up the image or document. When you're working with a backup, accountant's copy, or even the original file on a new workstation and that station doesn't include the computer file, the program won't be able to find the attachment because the pathway from the program to the file doesn't exist.

 

Since you're working with a client file, what you can do is ask the client to send whatever attachments you're looking for separately so that you can review that information against what's in the books.

So I tried this to be able to see the documents we had attached to vendor files in the 2020 desktop premier contractors edition.  It gives me a warning that the attach folder has less files than appear to be in the QB documents....  where did the others go?  Why was the attachment broken to begin with?
