Why do posted transactions keep disappearing in the bank transaction tab?

I'm cleaning books for 2024 and 2025. I have matched sales receipts and have a few more to match. I was working on them yesterday and suddenly, poof, a lot of them are gone. I have now only 37 transactions in the posted tab and they are from 2024 and 2025. The bank register has them all. I would like to understand why qbo keeps doing this. I had this issue a few weeks ago, then the transactions appeared again. It would show 1500 posted transactions in 5 pages of 300 transactions each, but only the first 3 pages would have information. If I wanted to export the entire 1500 transactions, I had to sort spent column, and export, and then sort the received column, and export, to get the entire list. I know some will say why I do it this way, but this is what works for me. I was told qbo deletes historical data in the bank transaction posted tab, but i have worked for a client updating the books since 2021 and I did not have this issue. THis is this year new qbo behaviour. Thanks for helping.

Hi there, Nerina. What you’re seeing in the Posted tab is usually related to how QuickBooks Online displays and loads bank transactions, especially when working with a large number of entries. This can sometimes make it seem like transactions are missing, even though they’re still recorded in your books.
 

QuickBooks doesn’t delete historical transactions from the Posted tab. Once transactions are matched or added, they remain in your bank register and reports. The behavior you described, where transactions seem to disappear and then reappear, can happen depending on how the page loads or how the filters are set.
 

You can try opening QuickBooks Online in an incognito/private window to see if it displays the full list more consistently. It’s also a good idea to double-check the date filters in the Posted tab to make sure they’re not limiting what’s shown. In the meantime, the bank register is a reliable place to confirm that all transactions are still there.
 

Since this issue has occurred more than once and involves a large number of transactions, reaching out to QuickBooks Live Support during their available hours can also help to take a closer look at your account and ensure everything is functioning as expected.
