How can I access 2018 T4?

Hello theroombarrie,

I hope that your week has gone well and you're able to look forward to the weekend! It's great to see that you're using QuickBooks Online and one of the Payroll module add-ons to track both of these aspects of your business in one place. I'd be happy to go over T4s in Payroll and your options when it comes to forms from the 2018 year.

For this situation, knowing which of the two Payroll modules you're working with is important. QuickBooks Online Payroll (formerly Standard Payroll) and Advanced Payroll handle these forms and archiving them a bit differently, but don't worry. I'll walk you through both. Just follow the steps for whichever version of Payroll you're using.

For QuickBooks Online Payroll, you'll still have access to your 2018 T4s right in product if you archived them. Archiving the forms keeps a copy of them in your QuickBooks that you can access so long as your Payroll subscription is active. Here's how to find those forms.

  1. Hover over Taxes in the left menu.
  2. Choose Payroll Tax.
  3. Under the Annual Forms heading, click View and Print Archived Forms.
  4. Select the form.

If you didn't archive that form, our support team may be able to help. Typically, as along as you were running payroll with Online Payroll during the 2018 year, we can retrieve those forms from the back end for you. To check if that's possible in your case, use one of the contact options at the end of my response to get in touch. For more details about archiving forms, check out this article: Archive and view old payroll tax forms

For Advanced Payroll, there are a couple of ways to access the T4 forms: through the Payroll tab and through the Reports tab.

To access the forms from the Payroll tab, follow these steps.

  1. Select Payroll from the left menu.
  2. Click the View reports drop-down menu.
  3. Choose Year-end forms.
  4. Select the Year.
  5. Choose the Form.
  6. Click Run Report.

To access the forms through the Reports tab, here are the steps.

  1. Select Reports from the left menu.
  2. Find the Year-end forms report.
  3. Select the Year.
  4. Choose the Form.
  5. Click Run Report.

Just like that, you'll have those forms. If you are an Advanced Payroll user, you should have already received this information about upcoming changes to that service, but if not, please read the following article: QuickBooks Online Advanced Payroll to Wagepoint

As promised, here are the contact details for QuickBooks Online support should you need our team to check for those 2018 forms in QuickBooks Online Payroll for you. With these options, you'll be able to securely share your account information with us so that we can review the options.
