Hi guest8,
Thanks for reaching out here in the Community for support on this. Intuit Workforce is great for sharing payroll information with employees electronically, keeping everyone connected and informed of their payroll data. I can explain how you can upload the employees' T4s to QuickBooks Workforce.
The QuickBooks Workforce platform makes it easy for employers to securely send paycheques and payroll forms like T4s to their employees. You can upload the employees' T4s to their QuickBooks Workforce account by navigating to Taxes > Payroll Tax > Annual Forms. On the left hand side of your screen, select the name of the employee from the All Employees drop-down menu, click on Employee copy of T4 slip and click on the green button that states Send to employee. The employee will receive an email notification that their T4 is ready to be viewed online. Here's an article that'll guide your employees on how they can access their paystubs and T4s: View your paycheques and T4s in QuickBooks Workforce.
If you haven't invited your employees to QuickBooks Workforce, an invite can be sent to the employee to create the Workforce account. You can navigate to the Payroll tab > Employees and click on the name of the employee. Click on Edit Employee, then enter the employee's email address in the Email section under Personal Info and select Done at the bottom right of the screen. An invite will be sent to the employee for them to create an account. The QuickBooks Workforce invite is valid for 30 days from when it was sent to the employee.
Here are some articles that provide more details on how an invite can be sent to the employees and also how your employees can set up their account:
I hope this helps. If you have any other questions, please don't hesitate to reach out.
Thank you so much for providing this very helpful article.
Do you have any idea why Quickbooks has us go employee by employee and submit each individual T4 to the employee on Workforce?
This seems very tedious and inefficient, especially since most payroll administrators will already have done a thorough review after downloading the PDF containing all the T4s for all employees.
A single click button to share T4s with all employees setup in Workforce would be very beneficial.
I appreciate you for joining the thread, @WRbookkeeper. I can share some information about submitting employees' T4 to Workforce.
Each employee has unique data and information does the system require you to go employee by employee to submit their T4. I can see the importance of clicking a single button to share T4 for all employees that were added to Workforce. Rest assured our engineers are working nonstop to enhance the product and deliver the best experiences for all QuickBooks users.
At this time, you can submit feedback about this to let them know the feature you need.
Here's how:
