How do you map payroll expenses to the correct gl accounts?

I'd like to be able to identify employees as owners vs staff and have their related wage and tax expenses auto post to separate GL accounts.

Mapping the wage and tax expense accounts is easy peasy, @erin-vetsquare-c.

You can go to the Accounting Preferences to categorize different expense accounts for your employees. I'd be happy to guide you through the steps.

  1. Sign in to your QBO account.
  2. Click the Gear icon, then select Payroll settings.
  3. On the Setup Overview page, click Accounting under Preferences.
  4. Select Customize.
  5. In the Wage Expense Accounts section, select I use different accounts for different groups of employees. Then, change the wage account of each of your employees from the drop-down.
  6. In the Tax Expense Accounts section, select I use different accounts for different groups of employees. Then, change the tax account of each of your employees from the drop-down.
  7. Click OK once you're done.

If the account you want to use is not listed in the drop-down list, you'll need to add it to the Chart of Accounts.

I'm adding this article for more guidance: Payroll set up: Payroll preferences.

You might also want to run payroll reports in QuickBooks Online. This will help you review useful information about your business and employees.

Please let me know if you need clarification about this, or there's anything else I can do for you. I'll be standing by for your response, @erin-vetsquare-c.
