I entered an employee's name incorrectly when i set him up.

You can rename an employee to correct their information in your QuickBooks Desktop (QBDT), @FLConcrete1. I'll provide more details to guide you through the process and address your inquiry.

 

Before anything else, please know that the prompt appears when you try to delete an existing employee to create a new one with the correct details. In QBDT, you can modify the employee's name even if they have existing payroll transactions. These are the steps:

 

  1. Go to the Employees menu and select Employee center.
  2. Locate the employee that you want to correct the information and click on it.
  3. Enter the correct name of the employee.
  4. Once done, click the OK button.

I tried to change the name as instructed but a pop up said I can't do it because there is already a payroll chq.

QuickBooks Desktop allows you to update employee information such as personal details, address, or contact information, even if there are existing payroll transactions. Since this isn't working on your end, please make sure to update your program to the latest release.

 

If the issue persists, I recommend using the QuickBooks Tool Hub to diagnose why the changes aren’t being saved.

 

First, let's download the installer and save it somewhere you can easily find. Open the .exe file and follow the on-screen steps. For the best experience, we recommend you use it on Windows 11, 64-bit.     

 

Next, open the Tool Hub, select Program Problems, then click on Quick Fix my Program. It will shut down any open background processes QuickBooks uses and perform a repair.
