It sounds like you're getting started with QuickBooks Online Payroll, and I'm excited to hear that you're taking advantage of this add-on service for QuickBooks Online. It's a superb way to couple your payroll accounting with the rest of the business bookkeeping to simplify the process of balancing your books. I can go over how enter payroll works so you know the steps to take account for the pay runs you need.

 

When using QuickBooks Online Payroll, there are two things to keep in mind: the Pay Dates only go as far back as when you signed up for the payroll service and the Pay Periods go back as far as 6 months. Since we're near the end of October, that's why you're not seeing the option to add any pay periods before April 27.

 

There are a few solutions. The first is to enter year-to-date amounts for your employees up to the time you began using QuickBooks Online Payroll. This feature is in place to help when you've been using another payroll system or using another method outside of QuickBooks to pay your employees. The program will then use those year to date amounts to pick up where you left off when you run your first pay in QuickBooks Online. Since you've already completed the initial Payroll setup, our support team can lend a hand to see if this option is still possible for you.

 

If not, the other option is to submit what's called a Payroll Edit form for our team to enter the numbers on your behalf in the back end of the system. This is something that you'll also want to connect with support outside of the QuickBooks Community about as it requires collecting your account details and sending you a form. With the Community being a public forum, sharing account details here isn't a step we would take since the security of your account and information is important to us.
