What is the format for employee ID number?

I have created an employee ID number for an employee but QB will not accept the format and does not tell me what format they want!

What is the format for employee ID number?

Welcome to the QuickBooks Community and thanks for choosing QuickBooks Online and QuickBooks Online Payroll to work with your employee information directly in your books. It's the perfect way to keep things simple with bookkeeping, and I'd be happy to help you with setting up your employee numbers in the module.

 

I know businesses have a variety of ways they format their employee IDs, and it's good to get a sense of how the program handles them. QuickBooks Online Payroll's Employee Number field has an 11-character-limit, but beyond that, you can use special characters, numbers, and letters to fill in the employee number. To make sure you're entering it into the right field, here's how you get to the Employee number field.

  1. Click Payroll in the left menu.
  2. Select the employee.
  3. Click Edit employee.
  4. Click the pencil icon for the What are [employee's] tax withholdings? section.
  5. Enter the number into the Employee number field.
  6. Click Done.

If that's where you are when the program is giving you trouble, it sounds like it could be a cache, browser, app, or Internet issue. Working in the cloud, QuickBooks Online can be impacted by these areas, so the following troubleshooting steps are useful. Give these a try one-by-one, returning to the employee profile to set up the Employee number each time.
