I am unable to see Payment methods like Direct Debit, cheque,Cash while making payments of bills using Pay bills option in quickbooks.

It's great to have you here, Mahesh. Let me explain below how the Pay bills feature works and why you're unable to see Payment methods in QuickBooks Online (QBO).

 

In QBO, when you use the "Pay Bills" feature, it's important to note that the program defaults the payment method based on the payment account you select. This setup differs from what you might have seen in the Expenses form, where you can specify methods such as Direct Debit, Cash, or Cheque more freely.

 

Here’s how it works:

 

  • If you choose a bank account when paying the bill, QuickBooks Online treats this transaction as a Cheque by default.
  • If a credit card account is chosen, the payment is treated as a Bill Payment (Credit Card).

 

To accommodate different payment methods, I recommend using the Memo field during bill payment to manually specify the payment method, This detail can later be included in your customized reports, enabling clearer tracking of transaction types.

 

Additionally, if you'd like to select a payment method such as Cash or Chequing, first choose the specific payment account and set the Account Type as "Bank". You can then further specify the exact method by selecting the appropriate Detail Type, such as "Chequing" for checks or "Cash on hand" for cash payments. This classification helps in organizing your account records.
