Import from QuickBooks Desktop and other software to QuickBooks Online

We've assembled some frequently asked questions regarding importing data from QuickBooks Desktop (or other applications) into QuickBooks Online using Intuit Data Services.

To start the conversion:

  1. Call Intuit at 1-888-829-8589 to set up your QuickBooks Online file.
  2. Complete the pre-conversion checklist before submitting your data for conversion.
  3. Complete our conversion form and upload a backup copy of your data. (Note: The conversion form is currently in English only.)
  4. We migrate your data and ask you to review the results using the post-conversion checklist for getting started with QuickBooks Online.
  5. Once you confirm you're happy with the results, you can start using your new QuickBooks Online company file.

Intuit Data Services can convert the Canadian versions of the following software:

  • Acomba
  • QuickBooks Desktop, 2009 - 2019
  • Sage 50 Accounting, 2010 - 2017
  • Xero
Note: Intuit Data Services will only convert to the Canadian version of QuickBooks Online.
We aim to complete your conversion within three to five working days of receiving your data file, although its often much faster than that.

Your business data is protected in the following ways:

  • As long as you use the online form to upload your data, it will be protected using the industry standard SSL encryption.
  • Post conversion, we move your data to secure offline storage where its encrypted.
Note: We recommend that you have a password on your source data file.

The following is a list of data types that will be converted:

  • Customer details
  • Supplier details
  • Chart of accounts
  • Account balances
  • Customer balances
  • Supplier balances
  • Items list
  • Historical transactions (Note: All the transactions from Sage will be migrated to QuickBooks in journal entry format.)

There are certain transaction types that don't convert. Therefore, the following transaction types will be converted as Journal Entries:

Sage 50

  • Deposits
  • Funds transfers
  • Pay cheques
  • Inventory Adjustments
  • Refunds

Xero

  • Receive money
  • Each contact is converted as both customer and supplier

Currently, Intuit Data Services will only convert core accounting information and not the following types of data:

  • Departments
  • Inventory Details
  • Budgets
  • Memorized transactions
  • Invoice template and other templates
  • Sales orders
  • Purchase orders
  • Payroll records
  • Projects
  • Negative stock
  • Attachments

Conversion limitation for data from software programs:

In addition to the above, there are additional conversion limitations for the following software programs: Sage 50 Accounting, Acomba and QuickBooks Desktop.

Sage 50 Accounting

  • Only a maximum of 2 fiscal years’ data gets converted.
  • All the transactions will be migrated in journal entry form.
  • Product and Service List & inventory details aren't imported.
  • You will find Customer. & Supplier as customer and supplier in your QuickBooks.
  • If the Customer Aging and Supplier Aging has amounts that don't match with the Accounts Receivable and Accounts Payable balance in Sage then you'll see some amount against Customer & Supplier in QuickBooks.

Acomba

  • Only a maximum of 2 fiscal years’ data gets converted.
  • All the transactions will be migrated in journal entry form.
  • Product and Service List & inventory details aren't imported.
  • You will find Customer & Supplier as customer and supplier in your QuickBooks.
  • If the Customer Aging and Supplier Aging has amounts that don't match with the Accounts Receivable and Accounts Payable balance in Acomba then you'll see some amount against Customer & Supplier in QuickBooks.

The data import process will transfer all compatible data that exists in the file you provided to QuickBooks Online.

Note: We advise that you keep a back up of relevant data to have a history of transactions prior to the conversion date.
